Job Summary: We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will have strong administrative skills, proficiency in QuickBooks, and excellent customer service experience to support our office operations.
Key Responsibilities:
Manage and maintain office files and records, ensuring accuracy and confidentiality.
Assist with scheduling meetings, appointments, and travel arrangements for executives.
Prepare and distribute correspondence, reports, and other documents.
Handle incoming phone calls and emails, providing excellent customer service.
Maintain and update office supplies inventory.
Assist with processing and invoicing using QuickBooks.
Support accounting and bookkeeping tasks, including reconciling accounts and generating financial reports.
Coordinate office events and manage office logistics.
Address customer inquiries and concerns promptly and professionally.
Build and maintain positive relationships with clients and vendors.
Qualifications:
Proven experience as an Administrative Assistant or similar role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Proficiency in QuickBooks and general accounting principles.
Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
Detail-oriented with a high level of accuracy and attention to detail.
Ability to handle confidential information with discretion.
Customer service experience, with a focus on providing outstanding support.
Education:
High school diploma or equivalent; some college coursework or degree preferred.
