Description We are in search of an Administrative Assistant to join our team in Tucson, Arizona. The individual will play a crucial role in our operations by providing administrative support, managing office necessities, handling incoming communication, and assisting in event planning. This role offers a long-term contract employment opportunity.Responsibilities: Facilitate efficient communication within the organization by handling incoming calls and emails and ensuring they are directed to the appropriate personnel. Manage office necessities to ensure all departments have the supplies needed; this includes ordering supplies when necessary, organizing files (both physical and electronic), and overseeing equipment maintenance. Provide administrative support for Board of Director and Committee Meetings, including sending invites, providing supporting documents, and dictating meeting minutes. Maintain and manage databases as requested by the Chief Operating Officer. Assist in planning and executing events, meetings, and special events, and contribute to the creation of event materials. Support various programs as needed, including completing the monthly activity calendar. Create and maintain community partnerships, ensuring they are included in the monthly calendar. Assist with admissions procedures, including initial communication with prospects, setting up and completing tours, and ensuring appropriate paperwork is completed prior to admission. Perform other duties as delegated by the Chief Operating Officer. Requirements Proficiency in answering inbound calls with professionalism and courtesy Experience in managing email correspondence with high level of accuracy Proficient in Microsoft Excel for data entry and reporting tasks Proficient in Microsoft Word for document creation and editing Ability to schedule appointments efficiently and manage calendars effectively Excellent written and verbal communication skills Strong organizational and multitasking abilities Ability to work independently and as part of a team High attention to detail and problem-solving skills Ability to maintain confidentiality of sensitive information Previous experience in an administrative role is preferred.
