The Personal Assistant's primary responsibility is to support the administrative needs of our CEO/Owner by coordinating schedules, organizing projects, handling correspondence and making business and personal errands. There will also be times the personal assistant may be asked to run personal errands such as dropping off dry cleaning, taking a car to the shop, picking up lunch or work offsite.
The position will handle multiple tasks on a daily, weekly and monthly basis, as well as miscellaneous tasks that arise. A high-level of organizational skills and a strong work ethic are required to ensure the position is fully functioning, independent of other members of the company, as well as supporting them. We conduct first interview via FaceTime, and do require in person second interview.
Responsibilities:
Executive Administrative Support:
Reviewing and drafting emails on behalf of the CEO
Maintaining company and executive calendars, and scheduling appointments
Helping with special projects of the administrative/executive teams
Making and receiving phone calls
Scheduling and coordinating company travel
Assisting HR with job posts, new hires, insurance, training, etc.
General office coordination (i.e. ordering office supplies, filing, data entry)
Supporting various departments within the organization
Scanning and maintaining physical and electronic files
Backing up the Accounting Department (phone/email support)
Creating and evaluating reports using Excel
Utilizing the internet to research companies, events, prices and other miscellaneous things
Personal Administrative Support:
Handling of personal, confidential tasks
Running personal errands
Buying lunches, other miscellaneous shopping
Picking up kids from school, dance or other activities
Scheduling contractors for home maintenance/repair
Requirements:
Must have average credit/Arizona Driver license
Be drug-free,
Must be very flexible, function on-call environment
Must have smart phone, and be familiar with all Steve Jobs creations.
Excellent written and verbal communication skills
Microsoft Office proficiency
Ability to multi-task
Strong analytical and problem-solving abilities
Ability to work independently, exercise judgment, and take initiative
Proven experience as an executive administrative assistant; senior executive assistant or other secretarial position
High organization skills
