The Front Office Supervisor (FOS) is responsible for oversight of all front office and Medical Records duties. The position supervises the Health Information Management (Medical Records) staff and the Front Office Representatives. The Front Office Supervisor ensures Front Office Representatives (FOR’s), and medical records staff work as a team to assure optimal patient flow. The FOS represents the company professionally and positively to enhance and promote the core values and mission of the organization, always exercising the utmost discretion, diplomacy, and tact in patient/staff interactions. The FOS is responsible for ensuring the patients receive positive customer experience.KEY ACCOUNTABILITIES:Provide and promote excellent customer service to visitors, patients, clients, and staff in person and on the phone.Provide supervision for Medical Records staff and Front Office staff.Serves as the NATIVE HEALTH recognized agency expert regarding the Health   Information Records Program, including electronic health records.Responsible for clinic flow, front office to back office.Supports the organization as needed.KNOWLEGE, SKILLS, AND ABILITIES:Expert knowledge in health information practices, concepts, and legal requirements.Able to multitask in a fast-paced demanding area while remaining calm & collected.Proficient knowledge of eligibility requirements of AHCCCS, CMDP, KidsCare, SOBRA, Sliding Fee Scale Program, and Private Insurance programs.Understanding of the Health Insurance Portability and Accountability Act (HIPAA) and an ability to maintain strict confidentiality of patients’ information.Knowledge of general office procedures include answering phones, directing calls, photocopying, faxing, typing, etc.Possess a positive attitude always.Skills and experience in supervising personnel.Proficient knowledge of multilevel funding, including Federal, Tribal, State, county, Third-Party insurance, and grants.Skills in utilizing Electronic Health Records (EHR). As the super user, supports training and operability needs of staff.Advanced computer skills including knowledge of software applications such as MS Word (EXCEL, PowerPoint, and Outlook).Ability to work under minimal supervision while meeting all requirements of the position; Ability to make decisions independently.Ability to collaborate with people and to make them comfortable regarding the release of personal, financial, and medical information.Ability to work simultaneously with multiple levels of supervision and differing program requirements.Ability to communicate and engage others to carry out assignments, meet goals and ensure the success of NATIVE HEALTH.Ability to confirm private insurance benefits and determine associated co-pay requirements.Ability to accurately receive and account for cash and check payments.
