Job Title: Event CoordinatorJob DescriptionJoin our dynamic events team within a financial services software company! As an Accounts Payable administrator, you will be pivotal in supporting the team's invoicing, purchase order creation, and vendor management. You'll manage a $10m annual events budget, providing crucial accounting-related and administrative support. Your responsibilities will include coordinating all events accounting, supporting invoice processing for over 100 invoices monthly, entering new contracts into the CLM system, managing collateral and badge orders, updating the event calendar, and ensuring all materials are organized at the Concord office. Additionally, you will communicate relevant event details to internal teams and gather feedback to enhance future events. You'll also assist in logistical tasks for select in-person meetings and manage multiple projects with tight deadlines in a fast-paced environment.
Coordinate all events accounting including creating POs, track payments against each PO, follow up with vendors on invoicing/invoice issues and completing cost recap reporting.
Support invoice processing and payment for 100+ invoices per month.
Enter new contracts into the CLM system and report on progress.
Handle collateral and badge orders with our vendor.
Update event calendar.
Manage all sign cases and other materials in the Concord office.
Communicate to internal constituents (sales, business partners, marketing,) all relevant event property and logistic details in a timely manner to ensure alignment across the business. In addition, seek feedback from internal partners about event logistics to continue to improve event outcomes over time.
Assist in logistical and local on-site work associated with select in-person meetings and events
Manage multiple projects with tight deadlines, as assigned, demonstrating flexibility in a fast-paced environment.
Requirements
3+ years of event coordinating/accounts payable experience in a corporate setting
Microsoft office- must know excel and powerpoint
Experience with invoices, purchase orders
Work Environment
Hybrid schedule: On-site Tues-Thu; Work from home Mon & Fri.
