Description Job Title: Accounts Payable SpecialistOverview:An Accounts Payable Specialist plays a vital role in ensuring the smooth financial operations of a company by managing the accounts payable process. This involves processing invoices, reconciling accounts, and ensuring timely payments to vendors and suppliers. Attention to detail, organizational skills, and a strong understanding of accounting principles are essential for success in this role.Responsibilities:

Process Invoices: Receive, review, and process invoices accurately and efficiently.

Coding and Data Entry: Assign appropriate general ledger codes to invoices and enter them into the accounting system.

Vendor Management: Maintain vendor files, including accurate contact information and payment terms.

Reconcile Accounts: Reconcile accounts payable transactions, ensuring accuracy and completeness.

Verify Accuracy: Verify that invoices are accurate, properly authorized, and supported by necessary documentation.

Resolve Discrepancies: Investigate and resolve discrepancies or issues with invoices, purchase orders, or payments.

Payment Processing: Prepare and process payments, including checks, ACH transfers, and wire transfers, in accordance with company policies and procedures.

Expense Reporting: Assist with the processing of employee expense reports, ensuring compliance with company policies.

Month-End Closing: Assist with month-end closing activities, including preparing accruals and reconciliations related to accounts payable.

Reporting: Generate reports related to accounts payable, such as aging reports or cash flow projections, as needed.

Compliance: Ensure compliance with company policies, accounting principles, and relevant regulations.

Communication: Communicate effectively with vendors, internal stakeholders, and other departments regarding payment status and inquiries.

Requirements

Qualifications:

Education: Bachelor's degree in Accounting, Finance, or related field preferred.

Experience: Previous experience in accounts payable or a similar finance role preferred.

Knowledge: Strong understanding of accounting principles and practices.

Software Skills: Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Office suite, especially Excel.

Attention to Detail: Ability to accurately process and reconcile large volumes of transactions.

Organizational Skills: Strong organizational skills with the ability to prioritize tasks and meet deadlines.

Communication: Excellent communication and interpersonal skills, with the ability to effectively interact with vendors and internal stakeholders.

Analytical Skills: Strong analytical and problem-solving skills to identify and resolve discrepancies.

Integrity: High level of integrity and professionalism in handling confidential information and financial transactions.

Adaptability: Ability to adapt to changing priorities and work effectively in a fast-paced environment.
