Description We are seeking an Administrative Assistant to join our team, located in San Jose, California. This role is integral to our operations and focuses on providing administrative support across various activities. This role is a short term contract employment opportunity in the industry.Responsibilities: Operating the phone system and handling incoming telephone lines. Providing prompt and professional responses to client inquiries. Screening and routing incoming sales calls as needed. Announcing visitors to the appropriate staff and clients. Performing administrative tasks and assistance as requested. Maintaining the cleanliness and organization of the lobby, reception area, and conference room. Assisting with the logging and tracking of non-office equipment rentals. Accepting and logging incoming deliveries for clients. Providing coverage at other locations as requested. Processing requests for word processing, administrative assistance, and fax services in a timely and accurate manner. Requirements Position requires a minimum of one year of experience in administrative assistance. Candidates should have excellent organizational skills and attention to detail. Must possess strong interpersonal communication skills, both written and verbal. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook is required. Ability to manage multiple tasks and deadlines simultaneously. Demonstrated ability to work well in a team environment. High school diploma or equivalent is required; college degree is preferred. Experience in managing calendars and coordinating meetings or events is desirable. Must have the ability to maintain confidentiality and handle sensitive information with discretion. Knowledge of basic office equipment such as photocopiers, scanners, and fax machines is beneficial. Candidates should have a proactive approach to problem-solving and the ability to make decisions independently. Experience in data entry and database management is a plus. Familiarity with office management procedures and basic accounting principles is advantageous. Ability to adapt to changing work environment and flexible to accommodate urgent tasks. Experience in customer service is beneficial.
