Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Marina, California. This role involves providing professional and technical support in the development, administration, and implementation of City programs. It will also entail monitoring and coordinating the daily operations of assigned program areas, conducting research, and maintaining appropriate records and statistics.Responsibilities: Assist in formulating program policies, goals, and procedures and compile relevant data supporting these recommendations. Assist in the development of new program elements and modifications to meet stated goals and objectives. Maintain inventory control of departmental supplies. Compile materials and assist in the preparation of reports, manuals, and publications. Provide responsible professional and technical assistance in the development, administration, and implementation of City programs. Conduct surveys, perform research and statistical analyses as requested, and prepare related reports. Monitor and coordinate the daily operations of assigned program areas, perform detailed administrative work, and maintain appropriate records and statistics. Help with the management of basic office functions. Assist in annual budget preparation and make budget recommendations relative to assigned program areas of responsibility. Prepare grant proposals, monitor active grants to ensure that all stipulations and regulations regarding the use of funds are met, and maintain appropriate records and documentation to satisfy any audit requirements. Requirements Minimum of 3 years of experience in an administrative role Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) Experience with QuickBooks software Ability to handle and prioritize multiple tasks Excellent customer service skills Strong verbal and written communication skills Experience in managing inbound and outbound calls Proficiency in data entry Ability to manage email correspondence effectively Experience in scheduling appointments High level of organizational skills Detail-oriented with a strong focus on accuracy Demonstrated ability to maintain confidentiality and handle sensitive information Ability to work collaboratively in a team environment.
