Description We are in the search for a skilled Administrative Assistant to join our team in the IT Software industry, located in Novato, California. As an Administrative Assistant, you will play a crucial role in maintaining our workplace environment, supporting daily operations, and providing exceptional customer service. This position offers a contract to hire employment opportunity, with the expectation of being in the office five days a week.Responsibilities: Assist in maintaining a well-functioning workplace environment by managing administrative responsibilities and facility upkeep. Provide front of house service for visitors, customers, and colleagues, ensuring a warm and friendly welcome. Handle tasks independently, prioritizing and completing them with exceptional attention to detail. Procure office supplies, cleaning supplies, stationary, toner, mailroom and shipping supplies, and other miscellaneous items as needed. Manage the mailroom by processing incoming and outgoing mail and shipments. Respond to routine inquiries and provide assistance with service tickets. Perform general clerical duties, including copying, faxing, mailing, laminating, and filing. Accurately and efficiently document and store vendor work orders. Assist the Facilities Coordinator in managing reactive and proactive maintenance requests. Support the Culinary & Events team in event setup and run-of-show, which may involve tasks such as furniture moving, vendor coordination, serving duties, and running errands. Promptly update floor plans to reflect office moves and new hires. Requirements Proficiency in Microsoft Office Suite including Microsoft Word, Microsoft Excel, Microsoft Outlook, and Microsoft PowerPoint Proven experience in answering inbound calls and handling inbound outbound calls Strong customer service skills and the ability to interact professionally with clients Experience in data entry with a high level of accuracy and attention to detail Ability to handle email correspondence professionally and promptly Demonstrable ability to schedule appointments and manage calendars Strong organizational and administrative skills Ability to multitask and prioritize tasks effectively Excellent written and verbal communication skills Ability to work independently as well as part of a team Proactive problem-solving skills and the ability to take initiative Previous experience in an administrative assistant role within the IT software industry would be advantageous.
