Description We are offering a contract for a permanent position as an Administrative Assistant in Covina, California. Situated within a dynamic industry, you will be tasked with providing administrative support, maintaining clear and consistent communication with clients, and ensuring the proper flow of documentation procedures.Responsibilities: Act as the primary point of contact for customers, addressing their emails and phone calls effectively. Handle customer complaints professionally and respond to their concerns promptly. Ensure completed engineering documents are provided to clients for their review and approval. Collaborate closely with the Engineering Department and Customer Service department for necessary project modifications. Monitor project approvals and ensure that approved projects are appropriately stamped by the printing station. Submit completed engineering documents for approval and distribute digitally signed jobs. Maintain detailed documentation notes, process closed jobs, and manage email files in FileMaker. Support the office by managing supplies, updating expired stamps, ordering S sheets and paper, and overseeing printer maintenance. Assist Project Coordinators with needed corrections. Ensure regular attendance and perform any other duties as assigned. Requirements Minimum of 2 years of experience as an Administrative Assistant or in a similar role Proficient in using Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint Proven experience in handling both inbound and outbound calls professionally Exceptional customer service skills and experience Demonstrated ability to schedule appointments effectively and efficiently Excellent skills in data entry with high levels of accuracy Experience in managing email correspondence professionally Ability to handle and respond to inbound calls promptly and professionally Excellent communication and interpersonal skills Ability to multitask and prioritize tasks according to business needs Attention to detail and problem-solving skills Must be a team player with a positive attitude.
