Position Overview: The Office Manager will be responsible for overseeing the daily operations of the firm, ensuring that the office environment is efficient, organized, and welcoming. This role requires strong organizational skills, a keen eye for detail, and the ability to handle multiple tasks simultaneously. The ideal candidate will have experience in office management, excellent communication skills, and a solid understanding of tax firm operations.Key Responsibilities:

Office Administration: Manage day-to-day office operations, including scheduling, filing, and office supplies procurement. Ensure the office environment is clean, organized, and conducive to productivity

Team Support: Provide administrative support to tax professionals and staff. Assist with onboarding new employees, coordinating training, and addressing any office-related issues

Client Relations: Serve as the first point of contact for clients, greeting visitors, answering phones, and addressing client inquiries. Maintain a high level of professionalism and ensure a positive client experience

Document Management: Oversee the management of confidential documents and records, ensuring compliance with privacy laws and firm policies. Assist with the preparation and review of tax documents and reports

Financial Administration: Assist with billing and invoicing processes. Track office expenses, prepare financial reports, and work with the accounting department to manage budgets

Technology Management: Maintain and troubleshoot office equipment and software. Coordinate with IT support to resolve technical issues and ensure systems are functioning optimally

Compliance and Policy: Ensure office operations comply with regulatory requirements and firm policies. Update office procedures as necessary and enforce compliance with tax-related regulations

Event Coordination: Plan and coordinate office events, meetings, and training sessions. Manage logistics and ensure events run smoothly

Requirements

Qualifications:

Experience: Minimum of 3-5 years of experience in office management, preferably within a tax firm or financial services environment

Skills:

Strong organizational and multitasking abilities

Excellent written and verbal communication skills

Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and office equipment

Basic understanding of tax procedures and financial terminology

Ability to maintain confidentiality and handle sensitive information with discretion

Strong problem-solving skills and attention to detail
