ABOUT US:

Growing Engineering Company is looking to add a new member to our team. This is an exciting opportunity for the right person with a strong desire to be a part of a winning team. We are seeking a detail-oriented and motivated A/R / Construction Project Billing Specialist to join our team. This role plays a vital part in ensuring accurate, timely billing and efficient accounts receivable processes for our commercial and industrial projects.

RESPONSIBILITIES:

Prepare and process project invoices in compliance with contractual agreements.

Collaborate with project managers to gather all necessary billing information.

Verify billing accuracy for labor, equipment, subcontractors, and materials on T&M projects.

Submit monthly customer costing reports and other requested billing documents.

Prepare and submit final closing documentation required for payment processing.

Monitor project budgets and report any discrepancies to the project team.

Maintain organized and audit-ready billing records and documentation.

Apply incoming payments in the accounting system accurately and timely.

Review A/R aging reports bi-weekly, follow up on past due invoices, and update the AR collection report accordingly.

Communicate with customers regarding outstanding balances and payment status.

Work closely with accounting and finance teams to reconcile billing discrepancies.

Participate in project meetings to provide billing updates and respond to inquiries.

Stay current with industry billing standards, including AIA billing.

QUALIFICATIONS:

Strong work ethic, taking ownership for the responsibilities and ensuring accuracy.

Strong computer proficiency in Microsoft applications including Word, Excel, and Outlook and ability to learn new computer applications like QuickBooks.

Ability and desire to learn quickly

Detail-oriented and passion for getting the details right

Mentality that no job is too big or too small

Strong English speaking and writing skills

Excellent customer service, with vendors, customers, and employees

Excellent time management and organizational skills

Ability to work independently and within a collaborative team environment.

Flexibility: ability to adapt to changing priorities in our fast-paced environment

REQUIREMENTS:

- Familiar with QuickBooks Billing

- Bilingual (English and Spanish) a plus - or a willingness to learn!

- Pass a background check and drug screening (includes marijuana)

- Experience with Microsoft Excel

- Be punctual and Work with all members of the team
