The primary responsibility of the Transportation Coordinator is to accurately manage ride information and rides. His/her responsibilities include scheduling telephoned rides from customers, assigning rides to drivers and communicating with them during their shifts. He/she is responsible for developing and maintaining a good working relationship and rapport with member-riders, volunteer and paid drivers, and other office staff.
JOB RELATIONSHIP: Reports To: Transportation Supervisor and Operations Manager of ITN®MontereyCounty.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1. Process telephoned requests for rides. Processing includes accurately recording and entering all information in Rides 2.0 and tracking sheets- RTC, entering ride data for the correct day and time.
2. Assure all data is entered on a daily basis before end of shift. He/she assures that rides and driver information is current on a daily basis. Using Rides 2.0 he/she will assign paid drivers when volunteers cannot be scheduled for rides to ensure coverage of all requests.
3. Ensure all Volunteer and paid Drivers received their schedule for all relevant days, and confirm their manifests.
4. Covering “on-call” after-hours duties which include carrying the company laptop and cell phone with you at all times. Ensuring all drivers confirm by 7pm - monitoring phones and email are part of general expected duties.
5. While On-call: Incoming calls resulting in driver changes, communicating with drivers, and consulting with management regarding changes prior to executing changes (if necessary) are counted activities.
6. Accept and complete other tasks assigned by management, including Transportation Supervisor, Operations Manager, and Executive Director.
7. Manage the driver schedules during the week to assure proper hours according to labor laws and seniority.
8. Ensure that the work area and work practices focus on safety, including reporting all work related accidents via an incident report immediately and any possible work related safety concerns to their direct Supervisor or Executive Director immediately.
PROBLEMS AND CHALLENGES: Multiple changes or scheduling challenges may occur in an occasionally fast-paced environment. He/she must balance communications between customers, volunteer and paid drivers and office personnel on a regular basis. Dealing with the impairment problems of senior citizens. Be able to read detailed maps quickly and accurately. Must be willing to work evenings, weekends and holidays as needed.

MINIMUM KNOWLEDGE, SKILLS, ABILITIES
1. High school diploma or equivalent.
2. Possess excellent interpersonal and customer service skills and ability to speak and write clearly.
3. Must have familiarity with Microsoft Office, Google platform, and basic computer/typing skills.
