Closing Officer – San Francisco Office (Full-Time, M–F)

About the Role

As a Closing Officer at Capital Access Group, you’ll play a key role in bringing small business dreams to life. You’ll ensure loan files meet all SBA requirements and are processed accurately, efficiently, and on time. This position combines detailed administrative work with strong relationship-building — helping our clients, lenders, attorneys, and title partners move from approval to funding with confidence.

What You’ll Do

Closing Support & Documentation Management

Ensure files meet all closing requirements before submission.

Audit systems and files, flagging any missing or pending items.

Review entity documentation and confirm current business information through the Secretary of State.

Communicate with attorneys, lenders and escrow officers to keep closing timelines on track.

Maintain up-to-date documentation and records, including recorded Reconveyances.

Closing Packages & File Reviews

Prepare and submit closing packages following Streamlined Closing Procedures.

Collaborate with attorneys and SBA counsel to resolve discrepancies and finalize documentation.

Assist in conducting Complete File Reviews (CFR) to confirm SBA compliance and gather any missing items.

Customer Service & Communication

Act as a liaison between Closing Attorneys, SBA partners, and internal teams.

Answer questions about the closing process and document requirements.

Deliver timely, professional, and client-focused communication across all channels.

CSA & Loan Funding

Prepare and review CSA documents for accuracy and timely submission.

Monitor alerts and follow up to ensure prompt loan funding.

Partner with Accounting to confirm lender participation fee payments and funding confirmations.

Keep both physical and digital loan files current and organized.

Collateral & Custody File Management

Prepare and send collateral and custody files to SBA Service Centers.

Track checklists and documentation to ensure proper handling.

Manage reconveyance processes for 504 interim loans.

Administrative & Compliance Support

Process ACH and wire confirmations, tax service requests, and compliance tasks.

Handle mail, scanning, and document uploads for the San Francisco office.

Assist with administrative tasks such as obtaining signatures, filing, faxing, and creating templates.

Provide phone and front-desk support as needed.

Stay current on SBA updates and procedural changes through ongoing training.

What You Bring

Bachelor’s or Associate's degree or equivalent combination of education and 2–4 years of related experience.

Experience with SBA loan documentation, CDC operations, or commercial real estate lending preferred.

Notary certification and CRM database knowledge (Salesforce, BOX, or Ventures) a plus.

Strong time and project management skills with exceptional attention to detail.

Clear, professional written and verbal communication.

Excellent problem-solving skills and the ability to work both independently and collaboratively.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe.

Outstanding customer service and professional phone etiquette.
