ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Others may be assigned.
Organize and keep track of on-going projects and activities of the Project Managers.
Compose and type routine correspondence.
Assist Project Managers with drawing and document control.
Execute subcontracts in conjunction with PM’s
Maintain subcontractor distribution log and project tracking procedures including obtaining and
monitoring certificates of insurance, subcontractor Illness & Injury Prevention Programs, MSDS’s,
RFI’s and RFQ’s, submittals, transmittals and change orders to owners and subcontractors.
Maintain project directory and photographs for each job.
Coordinate job specific mail requirements (i.e. FedEx and UPS pick-ups and deliveries).
Assist in preparing bid documents and tracking for the same.
Manage total job filing system (set up and close-out) – including all related job binders, filing cabinets
and plans.
File preliminary 20-day notices for all projects within required timelines.
Distribute documents and information to Superintendents and Accounting Department as needed.
Prepare purchase orders and or change orders under direction of The President or Project Manager.
Prepare and distribute owner contracts, subcontracts and change orders under direction of Project
Manager or President
Assemble close-out documents for projects when required (O & M manuals, as-builts, warranties, etc.)
Update project punch lists as needed.
CRITICAL TECHNICAL REQUIREMENTS:
This position requires strong communication, organization and computer skills.
Proficient in Word, Excel, PowerPoint, Bluebeam, and other software’s
Ability to create Excel spreadsheets with formulas
Bi-lingual - English/Spanish is a plus
