Description We are offering a short-term contract employment opportunity for an Administrative Assistant in San Diego, California. This role is primarily involved in the administrative and clerical support within the telecom industry. Your key responsibilities will include timely production of copy work, reviewing assigned payments, and preparing letters and outgoing mail. Responsibilities: Responsible for producing copy work in a timely manner and servicing appropriate parties Review and assign payments to the correct claim, ensuring no duplicates Prepare letters as necessary to support administrative tasks Manage outgoing mail, ensuring it is prepared accurately and sent in a timely manner Oversee monthly supply orders and monitor inventory levels Coordinate with adjusters and medical groups to transition injured workers to new primary treating physicians Communicate directly with the supervisor about any problems or issues that may adversely impact workflow procedures, insured parties, claimants, vendors, or the company Respond to both internal and external customer requests for assistance and meet commitments without direct supervision Deliver high-quality customer service when answering phone calls Perform other support tasks as requested, including data entry and claim administration Effectively communicate verbally and in writing with all relevant stakeholders Work actively with team members to achieve unit goals and objectives Adhere strictly to company policies and procedures, ensuring compliance at all times. Requirements Proficiency in Administrative Assistance tasks, including coordinating schedules, managing correspondence, and maintaining organized filing systems. Experience in Answering Inbound Calls with a professional demeanor, efficiently addressing customer inquiries and transferring calls as necessary. Familiarity with Claim Administration, including processing claims, liaising with insurance providers, and ensuring accurate record keeping. Ability to perform Data Entry tasks accurately and efficiently, including entering customer information, updating databases, and verifying data for completeness and correctness. Strong communication and interpersonal skills for interacting with colleagues, clients, and other stakeholders. Excellent organizational and multitasking abilities to manage multiple tasks and deadlines. Proficient in using office software including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools. Demonstrated ability to handle confidential information with discretion. Excellent problem-solving skills to address administrative challenges and improve office procedures and processes. Ability to work independently with minimal supervision, as well as part of a team. High school diploma or equivalent; additional qualifications in Office Administration are a plus.
