Greets visitors and ensure meeting of needs or referred to appropriate resources. Facilitates patient data management. Support best use of resources in management of equipment, supplies, and other department resources, and is a key factor for efficient functioning of the department.Required Qualifications

AHA Basic Life Support for Healthcare Professional (AHA BLS Healthcare) - American Heart Association -REQUIRED

1 Year Experience as a unit clerk or secretary in an acute care setting.

Essential Functions

Customer serviceGreets and makes welcome a variety of customers by the telephone and in person.Obtains information from visitors/callers, directs as appropriate or takes complete and accurate messages.Acts on requests for customer assistance.Uses scripts as appropriate including answering phones, transferring calls and service recovery.Answers call lights within unit/organization time standards, calling into patient rooms to validate request.Answers phone within 4 rings; transfer calls as indicated.Responds to all inquiries with a timeliness that promotes customer satisfaction.Coordinates with physicians and departments team members via paging system or phones.Assists in directing others during crisis interventions (codes, disasters, etc.).Communicates effectively with all levels of staff and uses chain of command per unit guidelines.

Department efficiency and effectivenessEfficient in completing own work, organizing, prioritizing and delegating to support productive completion of work within unit time guidelines.Orders supplies, forms and equipment, maintains stock per guidelines.Manages equipment through proper operation, obtaining supplies, troubleshooting and calling for maintenance (e.g. fax, copier, printer, tube system, phone systems, intercom and other equipment supportive of completing clerical work).Distributes and organizes supplies and equipment to ensure an efficient work space or work flow.Logs, assigns, and tracks wireless phones and other portable equipment.Enters patient charges into computer systems without duplication.Supportive of efficient management of other department resources (e.g. keys, signage, (other)per guidelines.

Medical records managementEnsures that on each medical record, every section for which the clerk has assigned responsibility is ready for efficient use by team members. (chart inserts, forms, reports, etc. per department/organization standards)Obtains old charts from medical records as applicable.Requests copies of H&P, consults, or other paper reports to complete medical record.Files interdisciplinary and diagnostic printouts in chart per standards.Assists team members in locating patient data information.

Order entryAccurately enters orders in electronic information systems, noting order number as applicable, per unit time standards.Enters stat order within unit time standards and communicates with appropriate staff.Seeks clarity before completing entry when order not clear or refers to nurse for follow-up.Retrieves diagnostic study, lab tests, and other relevant patient information supportive of patient assessment.Completes order entry via "down time" procedures when electronic information systems are not available.

Patient informationEnters/tracks accurate disposition of patient requiring visit, procedure, admission, transfer or discharge per unit time guidelines.Requests medical records, films, or other medical record information from other facilities.Coordinates scheduling of tests and retrieving results to support patient progress.Collects, prepares, and delivers patient data necessary to expedite patient flow between units, facilities, departments (including Medical Records dept.), etc.

SafetyConsistently utilizes proper body mechanics and available support equipment to ensure staff's safety and avoid personal injury.Enters work order to facilitate repair of equipment; reports urgent or unresolved equipment malfunction to the Biomed, Material Management, etc.Reports personal injury within two hours after incident happened, and completes the ART and state claim forms.Follows safety procedure required for equipment use.Reports observed hazards and unsafe practice.Complies with universal precautions and hospital infection control policies.Identifies and communicates patients who are at risk for injury to self and others.

SchedulingConsistently schedules emergency / add-on procedures accurately and completely (departmental and interdepartmental), demonstrating good time management and priority setting capability.Consistently completes all components of the scheduling procedure: prepare copies of schedules and/or added procedures and route copies to appropriate areas; print schedules for next shift, informs appropriate leadership, staff and/or materials management of case requests; notifies other departments as indicated.Consistently monitors schedule to assure maximum efficient use of procedure room time, staff and equipment. When possible, schedules same doctor in same room to minimize delays.Identifies department needs and takes appropriate action, without prompting, to accomplish department objectives and improve quality of care.Assists co-workers as needed.Responsible for one department task beyond routine responsibilities.Submits recommendations to improve processes in the department.Submit suggestions for cost containment.Maintains job related skills (i.e., computer skills). Able to operate computer for requests, including but not limited to: admission data sheets, ordering lab results / new labs, EKG, and other interdepartmental requests (Engineering, Biomed). Participates in own growth and development.
