Job Description

Position: Event Manager/Lead Wedding Planner

Purpose of the position: To manage communication and production of client events, including booking

vendors and organizing files for Ridgefield Weddings.

Reports to: Scott Davies, General Manager

Works with: Banquet Manger, Vendors, General Manager, Event Management

o Coordinates the details of our all-inclusive weddings from contract to event day.

o Meets with booked clients to go over their contract details, payment plan, and collection

of signatures.

o Coordinates files of each client, keeping track of event details and communication.

o Updates and archives our Event Summary files each month

o Books any Ridgefield Weddings vendors the client chooses and maintains ongoing

communication with these vendors.

o Handles communication with clients: answering questions, handling changes to contract,

etc.

o Create contract amendments for any changes to client contract, including guest count

increases, additions, etc.

o Confirm vendors (catering, flowers, dj, dessert, etc.) each week prior to weddings.

o Manages linen inventory and ordering appropriate colors/sizes for events each week.

o Works with General Manager with problematic clients and special exceptions as needed.

 Event Coordination

o Personally serves as the Day-of-Coordinator (DOC) for all events.

o Meets with clients for a “final meeting” to go over menu selections, final guest counts,

timeline, and last-minute details.

o Coordinates ceremony rehearsal, covering placement and movement during the

ceremony.

o Collects personal decorations for event from couple or designated member of wedding

party at the rehearsal.

o Coordinates the event day-of and personally oversees the experience of couple and

families until the end of the evening.

 Day of Coordinator (DOC) management (this does not apply at this time, but could in the future)

o Oversees and trains the part-time DOCs (once fully trained and approved to do so by

GM)

o Meets with part-time DOCs to coordinate schedules and communicate details/changes

o Answers questions the part-time DOCs have with their assigned clients.

 Any other responsibility deemed necessary by ownership

Hours: 20-25 hours weekly. Time varies based on season.
