Description We are offering a contract to hire employment opportunity for an Executive Assistant in the construction/contractor industry, located in Long Beach, California. The Executive Assistant will play a critical role in supporting our CEO and board of directors with administrative tasks, project management, and strategic initiatives. Responsibilities: Providing administrative support to the CEO, including managing schedules, organizing meetings, and making travel arrangements. Handling and processing confidential information and documents responsibly. Serving as a liaison with the Board of Directors, facilitating communication and coordinating activities. Assisting in prioritizing tasks for the CEO and contributing to maintaining the executive department workflow. Driving special projects and strategic initiatives for the Executive team as needed. Utilizing AI tools and technologies to automate routine tasks, streamline processes, and enhance decision-making. Managing and updating the organization’s legal entity database, including corporate governance documents. Assisting with departmental budget development and tracking expenses. Supporting crisis management efforts by developing contingency plans and responses to unforeseen challenges. Encouraging continuous improvement and learning within the organization. Supervising and developing Executive and Administrative Assistants in partnership with Executive leaders. Utilizing skills in Travel, Scheduling, and Scheduling Appt - Calendar Management. Requirements Minimum of three years of experience as an Executive Assistant within the Construction/Contractor industry. Proficient in managing travel arrangements including flight and hotel bookings, visa requirements, and itinerary planning. Capable of scheduling appointments and managing calendars for executives and other team members. Strong ability in coordinating and organizing meetings, including venue selection, agenda distribution, and arrangement of necessary equipment. Excellent communication skills, both verbal and written, for liaising with clients, suppliers, and team members. Familiarity with standard office software, including word processing, spreadsheet, and presentation tools. High level of discretion and confidentiality for handling sensitive information. Ability to multitask and prioritize tasks according to importance and deadlines. Proactive problem-solving skills to address issues before they escalate. Strong interpersonal skills for building and maintaining professional relationships. Adaptable and flexible to changing business needs and requirements. Ability to work independently with minimal supervision.
