- Coordinates with offices in different locations Executive will travel to including Seoul, London, Milan, and Paris.
- Will assist with on-site (in office) meetings in San Francisco and greet VIP visitors for meetings when needed.
- Update and maintain various presentations and records for the executive staff (e.g. schedules, expense reports utilizing Concur, and time sheets).
- Maintain VP’s schedule on Outlook and utilize MS Teams to coordinate meetings.
- Maintains the VP’s itinerary and schedule with specific attention to detail and take messages for VIP guests.
- Identifies critical level of communications and the need for the Executive’s notification.
- Interprets and clarifies requests and assists with required responses and action.
- Prepares executive level reports, compiles data into comprehensible format, and provides information for the executive’s effective community, internal, and company headquarters communications.
- Prepares and makes domestic and international travel and accommodation arrangements.
- Schedules executive conference rooms, maintains conference room equipment, and provides materials and supplies.
- Responds to travel policy questions and resolves issues.
- Recommends primary agents and negotiates hotel, auto rental, and airfare rates with approved travel agents and vendors.
- Performs word processing and prepares presentations, spreadsheets correspondence, contracts, internal memos, expense, and status reports, etc.
- Establishes executive level documentation standards and creates templates and styles to be used.
- Updates and maintains various presentations and records for the executive staff (e.g. schedules, expense reports, and time sheets).
- Assists the Executive with personal affairs.
- 4+ years of experience supporting high level VP/ Executives at global technology/ equivalent companies.
- Experience with MS Office (Outlook and Teams for scheduling meetings).
- Must be able to work in a fast-paced environment including but not limited to sudden changes with meetings, travel, etc.
- Troubleshoot and figure out creatives ways to make things work.
- Strong communication – will work with offices and Executive’s located in San Francisco, Korea, London, Milan, and Paris.
- Plan, organize, and prioritize multiple assignments and projects with minimal direction.
- Read, write, prepare, and interpret executive materials, presentations, contracts, or related documents.
- Demonstrated competency in both oral and written modes for internal and external personnel at all levels.
- Lift, move, or adjust general office equipment, boxes, or materials weighing up to 25 pounds using proper materials handling equipment and procedures.
- Bilingual in Korean or exposure to Korean business etiquette
