Occidental Hardware Inc. is a hardware and garden supply store located in the quaint, historic town of Occidental, serving local businesses and individuals in the West Sonoma County area. We are looking for an Office Manager to handle day to day office duties, inventory management, bookkeeping and payroll. Candidate must be familiar with QuickBooks and will need to learn TransAct, our point of sale system. Must also be able to occasionally help customers in the store and use the register. This is a great opportunity to expand your office admin and bookkeeping experience and to learn about hardware related industries, as well as make local connections.

Required Experience:

- 2+ years’ experience in Microsoft Word and Excel, Google Docs, QuickBooks, web based applications and Chrome web browsing, checking e-mail

- 2+ years’ experience with Point-of-Sale systems, cash handling, and customer service

- Ability to multitask and manage time, pivot between tasks and prioritize

- Understanding of basic bookkeeping principals, journal entries, bank reconciliation, bill pay, making reports, adding and editing vendor and employee info accurately and efficiently

- Basic understanding of inventory receiving and management

- Basic understanding of accounts receivable and accounts payable

- Basic understanding of payroll administration and general hiring procedures

- General bank account management, good banking and organizational skills

- Good problem solving skills, and resourcefulness

Recommended Experience:

- Preferably at least 60-80wpm typing speed

- General DIY, Gardening, Hardware, and Retail knowledge

Typical job duties can be divided by weekly, monthly, and yearly or by occasion, and they include:

Store: Occasionally helping in the store at the register, helping customers find merchandise, opening/closing cash register when needed, and answering phones

Banking: Preparing cash deposits, making transfers using online banking, entering deposits into QB and reconcile bank account.

Accounts Payable: Matching invoices to receiving paperwork, check pricing, print checks, occasionally paying bills through vendor websites or intuit invoicing through e-mail, monitor auto debits for certain monthly payments. Monitor and log accounts into QuickBooks for credit card and supplier statements.

Inventory: Updating inventory based on weekly shipment through POS and invoices received, updating pricing based on profit margin/cost changes, creating new inventory entries for new items and determining appropriate pricing based on established margins or per direction from owner.

Accounts Receivable: Manage store accounts using POS system, enter AR payments in POS system, field questions regarding payments or changes to account information. Process and mail monthly statements. Pay accounts that have payment info on file monthly. Monitor A/R aging.

Rental management: Fielding any concerns from rental office next door to the store owner, managing monthly dues and collecting rents, posting ad to rent any open offices, making sure toilet paper, soap and paper towels are stocked

Enter Daily Sales Reports: Log daily sales reports journals into QuickBooks, manage sales data charts.

Payroll: Bi-Weekly payroll done through our payroll administrative service. Download timesheets from TransAct POS and enter data into the payroll online portal, download data and print checks, enter checks and payroll funding data into QuickBooks. Occasionally hire new employees as needed, collect and enter onboarding information on new hires.

Taxes: File and pay quarterly sales and use tax, Send 1099s and Organize Company tax and sales reports to hand off to CPA yearly (W2’s are handled through payroll company)

Office Admin: Order office supplies, travel to bank with deposits, check email and mailbox, keeping office organized and orderly, managing messages and appointments for the store and other management
