Job Description

Under direct supervision, the 8106 Legal Process Clerk performs detailed clerical work involving the processing of legal actions. The essential functions of this job include: reviewing, processing, routing and filing records; retrieving legal documents using various filing systems; responding to inquiries made in-person and over the telephone; answering questions pertaining to regulation requirements of documents; utilizing computer terminals to perform record researches and data entry; assembling legal papers and case files; filing motions and other legal papers; distributing mail and delivering legal papers; typing forms, memoranda, correspondence and notices. Some positions may require considerable public contact.

ESSENTIAL FUNCTION:

Duties include, but are not limited to the following:

  1. Retrieving court calendars.
  2. Filing and retrieving files.
  3. Assisting attorney in court to maintain calendars and provide court return slips to clients.
  4. Creating new files.
  5. Maintaining court calendars.
  6. Utilizing computer terminals to perform record researches and data entry.
  7. Responding to inquiries made in-person and over the telephone.
  8. Maintaining attorney support forms and documents in assigned courtrooms.
  9. Interacting with other agencies (Pretrial Diversion, District Attorney, Adult Probation,Police Department and Court Clerks) to exchange documentation and information.
  10. Distributing files and other information to attorneys.
  11. Retrieving and returning files to outside storage facilities as requested by attorney.
  12. Reception desk duties open to the general public.
  13. Performs related duties and responsibilities as assigned.

Working Conditions:The nature of the work may require considerable physical effort with heavy lifting up to 40 lbs. The duties of this class are performed in a fast paced, high volume environment with frequent interruptions. This position also involves heavy customer service at the front reception desk serving clientele who may be difficult at times and/or be in situations that may require escalation or conflict resolution.

Qualifications

Minimum Qualifications: One (1) year (equivalent of 2,000 hours) of verifiable experience processing and/or researching documents in accordance with laws, codes and/or regulations in a legal, governmental, real estate or financial services environment.

Desirable Qualifications: The state desirable qualifications may be used to identify job finalists at the end of the selection process when candidates are referred for hiring.

  • Excellent customer service or customer relations track record; answering high-volume calls and responding to numerous inquiries from the public and public defender clients.
  • Bilingual skills: speak, read and write in both English and another language. (Bilingual Candidates moving forward in the selection process will be subject to a language proficiency test given by the City and County of San Francisco).
  • Experience working in a legal or law office environment. Experience must be within the last five years.
  • Experience working in an organization that works with communities and with incarcerated clientele.
  • Proven ability to communicate effectively both orally and in writing.

Additional Information

Compensation: $28.99- $35.23hourly

Appointment Type: Temporary Exempt (TEX) category 17. This position is excluded by the Charter from competitive Civil Service examination process and shall serve at the discretion of the Appointing Officer. The duration of this appointment is approximately six (6) to nine (9) months.
