Description A well-regarded plaintiff law firm in Oakland, CA, specializing in Personal Injury and Employment Litigation, is seeking a legal secretary skills to provide temporary support during a 2-3 month maternity leave. The role involves a combination of paralegal responsibilities and administrative tasks to ensure the smooth operation of the firm's litigation processes. The position is hybrid, requiring 3 days on-site and 2 days remote each week.Key Responsibilities:

Assist attorneys with end-to-end litigation tasks, including managing case files, organizing documents, and preparing shells for discovery.

Coordinate and schedule depositions, meetings, and site inspections.

Prepare and manage documents for e-filing in state and federal courts.

Support trial preparation by organizing exhibits, preparing trial binders, and coordinating witness logistics.

Handle routine office duties such as answering phone calls, managing calendars, and coordinating appointments.

Convert and manage PDFs, handle bate stamping, and prepare documents for various stages of litigation.

Assist in managing correspondence, including communications with clients, witnesses, and other parties.

Maintain and update the litigation calendar, ensuring all deadlines and court dates are accurately recorded.

Utilize legal and office software effectively, including MS Office Suite, Zoom, Docusign, and case management software.

Manage electronic documents, ensuring proper organization and accessibility for the legal team.

Requirements

Qualifications:

Minimum of 2+ years in litigation support as a paralegal and/or legal secretary, with strong familiarity with California civil code and procedure. Experience managing cases from discovery through trial is essential.

Proficiency in MS Office Suite, legal case management software, e-filing platforms, PDF management, and Docusign. Comfortable using Zoom for virtual meetings.

Exceptional organizational abilities with strong attention to detail. Proven capability in managing complex calendars and meeting tight deadlines.

Excellent written and verbal communication skills. Ability to collaborate effectively with attorneys, clients, and other stakeholders.

Paralegal Certificate preferred, with a Bachelor's degree in a related field as a plus.

Must be able to work on-site in Oakland 3 days a week, with 2 days remote. Immediate availability for a 2-3 month assignment.
