Description A well-established law firm in Oakland, California is seeking an experienced Litigation Legal Secretary to provide administrative and secretarial support to its civil litigation team. The ideal candidate will have a strong background in civil litigation, with the ability to manage multiple tasks efficiently in a fast-paced environment. This position is ideal for someone who excels in organization, communication, and attention to detail, while also being proficient in handling the procedural and administrative aspects of litigation.Key Responsibilities:

Prepare, format, and revise a variety of legal documents, including pleadings, motions, subpoenas, discovery requests, and correspondence.

Assist in the filing of legal documents with state and federal courts, including e-filing through various court systems.

Maintain and manage attorneys' calendars, including scheduling court appearances, depositions, client meetings, and deadlines.

Coordinate and manage all aspects of document production, including copying, scanning, and binding of briefs, exhibits, and other case materials.

Handle correspondence and communication with clients, opposing counsel, court personnel, and vendors, ensuring prompt and professional responses.

Open, organize, and maintain case files, ensuring that all documents are accurately filed and easily accessible.

Prepare and file legal forms and documents such as summonses, complaints, subpoenas, and notices, ensuring compliance with court rules and procedures.

Manage attorney billing, including time entry and preparation of billing statements, ensuring accuracy and timeliness.

Assist with trial preparation, including the organization of trial binders, exhibits, and witness materials.

Arrange and coordinate travel, meetings, and other logistical support as needed for attorneys.

Requirements

Key Qualifications:

5+ years of experience as a Legal Secretary with a focus on civil litigation.

Strong knowledge of California civil procedure, court rules, and legal terminology.

Proficiency in e-filing systems for both state and federal courts.

Excellent organizational skills with the ability to manage multiple priorities and deadlines.

Superior attention to detail in document preparation, prooing, and case management.

Proficiency in legal software such as Microsoft Office Suite (Word, Excel, Outlook), document management systems, and case management software.

Strong communication skills, both written and verbal, with the ability to interact professionally with clients, attorneys, and court personnel.

Ability to work independently and as part of a team, handling confidential information with discretion.

Experience with trial preparation and supporting attorneys during trial.

Familiarity with litigation support software such as CaseMap, Relativity, or similar platforms.
