Hospital Access Services departments facilitate patient, visitor and provider interactions within their ministry including access to both information and care; this position is responsible for oversight and leadership of all areas of department operations, and ensuring adherence to regulations, facilitating appropriate disaster response, as well as coordination with facility clinical and administrative leadership for processes integrated with Access.KEY CHALLENGES: Ensuring the delivery of high-quality services across all of Providence Health & Services, while managing the transition to the new ORC model. Actively managing employee engagement and morale during a period of profound organizational change. Ensuring timely and appropriate communications to employees, patients and stakeholders about change. Defining and implementing common business practices across all regions. Helping to build and sustain the culture of ORC as part of the leadership team.In this position you will:Manage Access Services on-site operations with focus on accurate registrations, superior customer service, high employee satisfaction and maximized reimbursement

Ensure Access Services departments are adequately staffed at all times to facilitate patient care including providing 24/7 on-call support to resolve staffing or emergent department issues

Track KPI’s, metrics and takes action on outcomes including data accuracy, patient satisfaction, compliance measures/requirements, POS collections and patient wait times to maximize performance and ensure Revenue Cycle goals are met or exceeded

Operational responsibility of all departmental budgets within leadership scope including budget development, monitoring, cost approval, reconciliation of expenditures and discrepancies

Develop strong working relationships with facility/regional department Managers to ensure open communication channels and coordinated service delivery

Ensure department compliance with Federal, State and local laws, standards and regulations

Develop and mentor Supervisor(s) and staff

Represent Access Services and Revenue Cycle at facility-based meetings so that Access/Revenue functions are integrated with facility processes to optimize outcomes and the patient experience

Maintain primary responsibility for department disaster and contingency planning

Based on position, may have responsibility for oversight of PBX/Information Desk and/or Inpatient/Bed Control/Transfer Center function(s)

Qualifications:Required qualifications for this position includes:Bachelor’s degree; equivalent combinations of education and experience may be considered in lieu of the degree requirement Preferably in a healthcare related field. Or equivalent educ/experience

Five (5) plus years overall experience in integrated healthcare system in any aspect of access services or related position, including three (3) plus years’ experience in management.

Experience in monitoring and adherence to regulatory requirements including HIPAA, CMS, JC, EMTALA and others

Experience in standardizing complex and disparate practices and maintaining common processes

Experience in process improvement methodology, change management, operational improvement in complex systems

Experience in flexible staffing models including staff scheduling to volume and cross-training to optimize productivity and employee satisfaction

Experience in mentoring and coaching/counseling.

Experience in optimizing workflow processes with emphasis as they relate to complex computer systems

A track record showing good decision-making skills based upon a mixture of analysis, experience, and judgment

A track record in organizing and planning with demonstrated ability to effectively manage time and achieve results in a fast paced environment

Working knowledge of Revenue Cycle processes with emphasis on Front End including Registration, Scheduling and Insurance Verification and reimbursement contracts

Ability to interact with and communicate to all levels of an organization

Demonstrated knowledge of HIPAA, CMS, EMTALA and JC rules and regulations

Proven leadership ability to build and maintain high functioning teams

Proven history of proactively identifying, resolving and escalating issues that impact business outcomes

Demonstrated strong and persuasive verbal, written and interpersonal communication skills

Proven ability to work collaboratively in a team environment in a positive and professional manner

Proven flexibility in undertaking travel both in and out of state

Preferred qualifications for this position includes:Bachelor’s degree in a healthcare related field

Certified Healthcare Access Manager (CHAM) or Certified Revenue Cycle Professional (CRCP)
