Job Description

This position provides materials management support in accordance with state and federal guidelines, company policies and procedures and safety rules. Perform all tasks and duties associated with materials management operations including receipt, storage, and distribution of materials, samples, products, and supplies, tracking and delivering all packages safely and securely within the Exelixis campus.

Qualifications

ESSENTIAL DUTIES AND RESPONSIBILITIES: Receive deliveries of incoming items and check/verify receipt of said items against purchase orders or invoices. Inspect incoming items for shortages or damage and perform corresponding electronic transaction to log receipt. Ensures compliance with quality control processes and procedures. Verifies and keeps records of incoming and outgoing shipments and prepares items for shipment per IATA and 49 CFR guidelines. Responsible for documenting and correcting receiving discrepancies as needed. Maintains records of received goods; rejecting unsatisfactory items where necessary and corresponds with shipping company and/or Purchasing to rectify damages and shortages. Prepare orders for shipment, process parcel manifests, commercial invoice, packing slip and schedule pick up with designated freight shippers. Maintains documentation to reflect the effectiveness and efficiency of department activities. Unpacks and checks goods received against purchase orders or invoices, maintains records of received goods, prepares goods for final shipment, and ensures all necessary and proper documentation procedures are followed. Interacts with International Freight Forwarders, Brokers, and Customs to facilitate transportation of international shipments. Ensures materials are accurately received, logged, and tracked from vendors, collaborators, and clinical study partners; materials are delivered to inventory, labs, or end users. Manages the outbound shipping process to ensure correct packaging, documentation, and shipped in a timely manner. Responsible for internal and external delivery processes of mail and/or packages between buildings. Maintains office supplies, replenishes office supplies in all buildings, orders office supplies, and ensures materials are delivered to proper internal areas. Ensures correct receiving and marking/tagging of capital equipment. Maintains documentation to reflect the effectiveness and efficiency of department activities. Maintains the work area and equipment in a clean and orderly condition and follows prescribed safety regulations. Manage and report spills and/or any other safety issues to EH&S. Prepares, sorts, and distributes mail and packages between buildings and floors. Quarantine questionable packages or mail and report to security. Attends training classes and keeps current certifications as needed to manage handling chemicals and dangerous goods.

SUPERVISORY RESPONSIBILITIES: No supervisory responsibilities

EDUCATION/EXPERIENCE/KNOWLEDGE & SKILLS:Education: High school diploma or general education degree (GED) and four years of related experience working in an FDA-regulated industry; or, AA/AS degree in a related discipline and two years of related experience working in an FDA-regulated industry; or, Bachelor’s degree in a related discipline; or, Equivalent combination of education and experience. May require certification in assigned area. A valid driver’s license with a good driving record.

Experience: Experience in the pharmaceutical and biotech industries preferred. Experience in materials management function. Experience with SAP and inventory management software/applications.

Knowledge/Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence as well as effectively speak to groups and individuals from other departments. Ability to effectively capture data and results. Hazmat, DOT, and IATA training and certification. Excellent communication skills (verbal and written) with all levels of an organization. Strong customer service and time management skills. Organizational skills and detail oriented. Ability to follow SOP’s and thoroughly complete tasks including follow-up as necessary. Technical capacity for shipping software systems and MS Office suite. Ability to work in a team environment and independently to meet business needs. Applies extensive technical expertise in area of specialty and has wide breadth of knowledge in related disciplines.

WORKING CONDITIONS: Environment: primarily working indoors and outdoors of buildings Essential physical requirements, such as climbing, standing, stooping, or typing. Physical effort/lifting, such as sedentary - up to 10 pounds; light - up to 20 pounds; medium - upto 50 pounds; heavy - over 50 pounds. May be required to work weekends, nights, or be on-call on occasion. Travel not required#LI-AW1
