Stefanini is looking for an Office Administrator in San Francisco, CA. General Summary:This position will work alongside the centralized group operations team to ensure the smooth functioning of the Communications + Experience Group by making sure that operational and administrative tasks are anticipated and performed according to established procedures.The position serves as a utility player, someone that can flex between operational responsibilities (vendor screening, onboarding/offboarding, equipment and supply purchases, etc.) to administrative support (managing officer schedules, making travel arrangements, meeting preparation, event support, etc.).This position participates in, and coordinates various aspects of projects as specified by management and may be requested to assist with department functions or District meetings.The position interacts with all levels of staff within the Group and the broader bank; must maintain effective communications, develop good working relationships, and deliver good customer service.

Qualifications Knowledge, Skills, and Abilities:Strong technical proficiency and knowledge of computer hardware and software, including Windows, MS Office Suite (Word, Excel, and PowerPoint), MS Teams, Adobe Acrobat, Video conference (MS Teams and Zoom), browsers, and Internet navigation. SharePoint and Visio experience is desirable.Strong user of collaboration tools instant messaging (MS Teams), sharing documents.Strong teamwork.Strong ability to multi-task, with attention to detail.Strong initiative and skill at resolving problems and communicating issues and resolutions with the team and colleagues.Demonstrates good judgment to seek help from team or escalate issues appropriately.Ability to understand the Bank's culture.Strong time management skills.The ability to exercise good judgment with the handling of confidential or sensitive information is critical.Completes complex tasks in resourceful and effective ways.Minimum Education/Training/Certification: Bachelor's Degree or comparable work experience desired.Minimum Work Experience: Normally requires 3 years' experience. Essential Duties and Responsibilities:Ability to flex into different responsibilities in the Operations team.Supports the functions and responsibilities of the Communications & Engagement Group and makes sure that new staff are appropriately outfitted and provisioned.Provides administrative support such as purchasing supplies and equipment, including laptops, printers, cell phones; manages Facilities change requests.Coordinates Group hardware and software builds and maintain inventory.Manages the vendor screening processes for the C+E Group.Coordinates logistics necessary for meetings, working with Event Management staff, Facilities, and Police Services, as necessary.Provides backup support to executive assistants by managing officer calendars, coordinates, and schedules appointment requests, prepares meeting materials.Effectively multi-tasks and manages competing demands.Maintains diplomacy and confidentiality at all times and conveys a professional and friendly attitude.May participate in special projects designed to improve the work and processes of the operations department or Group.Performs other duties as assigned Works under occasional supervision.
