CHES provides leadership in the areas of college student life and residential services, housing services, facilities, dining services, capital planning, conference services, early education services, and business and financial analysis for these areas. Through these units, educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents.CHES provides on-campus housing and dining services to nearly 9,500 undergraduate and graduate students in ten residential colleges and six multi-college affiliated residential communities which support single students and students with families.The Student Housing Services unit of CHES promotes university housing and dining programs and resources, and provides convenient, accessible services where students take care of their housing and dining related business, whether they live on or off campus. The unit provides direct services supporting the campus housing program, including contract and policy development, marketing and communication, and the timely billing, collection, and reconciliation of housing and meal plan revenue.JOB SUMMARYUnder the general supervision of the Operations Manager, the Outreach Engagement Coordinator is responsible for the development, implementation, and administration of programming and outreach related to services and resources provided by Student Housing Services, serving the university housing and off-campus housing needs of the UCSC student population.The Outreach Engagement Coordinator is uniquely positioned to enhance and make a positive impact on the student experience. As a member of the Student Housing Services team, the incumbent will collaborate to enact a vision, strategic direction, and accountability for related programming in support of outreach initiatives.This professional serves as a direct liaison to students, administrators, and campus resources, and cultivates collaborative relationships with landlords, property managers, and community resources. In this capacity, and in close collaboration with the Operations Manager and Associate Director for Student Housing Services, the individual in this position is required to have an extensive understanding of the overall organization, its diverse on- and off-campus constituencies, and experience interacting with the public using a service-oriented approach.APPOINTMENT INFORMATIONBudgeted Salary: $70,000 - $75,000/annually. Establish working guidelines, including training materials, to maximize the effectiveness and ensure alignment with campus/unit communication plans.Oversee the budget, financial documentation, tracking and reporting for campus events. Produce special and annual reports, program evaluations, as needed.Develop an annual outreach calendar (presentations, resource fairs, messaging campaigns, etc.).In collaboration with Marketing and Communication staff, develop marketing collateral needed for outreach initiatives. Coordinate the update of mailing lists for and development of outreach materials & advertisements to landlords, apartment complex managers, and property management companies.Work with department management to review, update and/or revise print/electronic content to better communicate the unit's mission.Ensure smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen. Ensure that campus policies and procedures are followed at all events.30% - Engagement, Education and AdvisingConduct advising for students through individual and group sessions, workshops, and other experiences in ways that are engaging and effective.Give presentations to campus and community groups that promote department services and resources. Participate in outreach or informational events, including but not limited to housing fairs, workshops, & tabling sessions.Independently and in collaboration with others, design and deliver student engagement opportunities on a wide range of housing related issues.Provide referrals to campus or community resources based on specific needs or circumstances.20% - Program DevelopmentDevelop and deliver a portfolio of initiatives designed to help students discover and benefit from department services and resources.Coordinate and facilitate educational opportunities and other programming initiatives.Collect and analyze participation and engagement data of programs to assure quality and improve student engagement, preparing reports as requested. Develop and administer assessment tools to determine program effectiveness.Recommend initiatives and implement changes to improve quality and achieve optimal outcomes.Plan and develop presentations to campus and community groups that promote department services and resources, including coordinating and scheduling meetings and presentations; drafting presentation and meeting materials.Select, train, and supervise a team of knowledgeable and engaging student ambassadors to support and promote department programs.Exercise independent judgment and initiative in completing tasks. Track and coordinate assignments and ensure implementation of collaborative efforts with other campus staff, offices, etc.15% - Relationship Development and ManagementFully engage the university network by developing new and deepening existing collaborative relationships with campus administrators and staff, and other identified university partners involved in program development.Initiate and cultivate collaborative relationships with external entities, acting as a liaison to non-campus affiliated companies and organizations that relate to engagement opportunities and resources for students.Serve as the campus liaison for the rental listing service. Coordinate with vendor on any systems-related needs or issues, and provide systems-related guidance and training. Coordinate with rental listing vendor on collection of statistical data and preparation of reports on a periodic basis.5% - Other Duties as AssignedSupport the overall mission and goals of Student Housing Services.Represent Student Housing Services as a member of campus committees and task forces, professional conferences and workshops, as well as College Student Life events.Conduct research and analysis or take on special projects or assignments as delegated by the Operations Manager or Associate Director for SHS.As an individual and as a team member, assist in the development of continuous improvement to policies, procedures, and customer service.Develop and maintain professionally relevant skills through available training programs, publications, attendance at workshops, etc.Assume additional projects and responsibilities in response to emerging issues.REQUIRED QUALIFICATIONSDemonstrated skills and experience planning, implementing, presenting and evaluating large-scale programs and events, preferably within a college or university setting.Skills in developing innovative solutions, identifying measures of system performance and the actions to improve performance.Financial record-keeping skills and experience sufficient to maintain records, produce reports, and adhere to University policy.Strong computer skills with knowledge of word processing, spreadsheet, database, e-mail and calendar applications.Excellent written and verbal communication skills with the ability to foster effective communications with campus partner staff, students and external entities.Skilled in working as part of a team and collaborating closely with co-workers as well as working independently with minimal directionHighly developed interpersonal communication skills including political acumen and social perceptiveness with the ability to interact harmoniously and cooperatively with individuals from diverse ethnic, cultural socioeconomic backgrounds.Thorough knowledge of advising techniques including providing guidance to achieve goals.Ability to motivate and model "best practices" customer service and supervise student staff.Ability to independently manage a variety of projects with frequent interruptions and shifting priorities.Ability to pay strict attention to detail.Ability to assimilate from verbal and written sources a broad knowledge of campus procedures and apply them with consistency.Ability to understand the cultural climate; to exercise good judgment and diplomacy as individual situations warrant.PREFERRED QUALIFICATIONSKnowledge of California and local civil codes, tenant/landlord rental laws, and local and state regulations.
