Description About the Position:We are seeking a detail-oriented and organized Part-Time Administrative Assistant to support our financial team. In this role, you will provide essential administrative support, ensuring smooth daily operations and contributing to a productive and client-centered environment. This position offers flexible hours, making it ideal for someone looking to balance work with other commitments while gaining experience in a reputable financial firm.Responsibilities:
Office Administration: Manage phone calls, emails, and visitor inquiries professionally, directing them as needed and ensuring a positive experience for all clients.
Document Preparation & Filing: Assist with preparing, organizing, and filing financial documents, reports, and client records in compliance with firm policies and confidentiality standards.
Scheduling Support: Coordinate meetings, appointments, and conference calls, helping to maintain an organized calendar for team members.
Data Entry & Record Management: Maintain accurate and up-to-date records, including data entry into client management systems and ensuring data integrity.
Supplies & Office Management: Monitor and order office supplies as needed, keeping common areas tidy and organized.
Support Team Projects: Provide support on ad-hoc projects and tasks, including assisting with client mailings, assembling materials, and conducting basic research.
Requirements
Qualifications:
Administrative Experience: Previous experience in an administrative role preferred, with exposure to finance or professional services a plus.
Attention to Detail: Strong organizational skills with a focus on accuracy and efficiency in completing tasks.
Communication Skills: Excellent written and verbal communication skills, with a professional and friendly demeanor.
Tech Proficiency: Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and comfort using office technology.
Discretion and Confidentiality: Demonstrated ability to handle sensitive information with integrity and professionalism.
