Part-Time Executive Assistant for Busy Professor

I’m a professor based in SF/Berkeley with a full professional and personal plate — teaching, research, travel, and raising two young kids. I’m looking for a highly organized, proactive, and reliable part-time Executive Assistant to help manage the chaos and keep things running smoothly.

This is a flexible, mostly remote opportunity that would be great for a student, freelancer, or someone with daytime flexibility. Hours will vary week to week (roughly 5–10 hours), and can grow over time.

Key Responsibilities:

Manage scheduling, calendar coordination, and travel arrangements

Help with reimbursements, invoices, and other light admin/finance tasks

Organize to-do lists, inboxes, and project workflows

Run occasional local errands (if you’re based nearby)

Research tasks (e.g., service providers, gifts, booking activities)

Light support with kids’ logistics — activity sign-ups, school forms, etc.

Provide general executive support and personal assistance as needed

You Are:

Incredibly reliable, organized, and detail-oriented

Responsive and able to handle time-sensitive requests on short notice

Tech-savvy — familiar with Google Workspace, task managers, and basic spreadsheets

Strong written and verbal communicator

Trustworthy, discreet, and professional

Able to work independently and juggle multiple priorities

Bonus If You:

Have prior experience in admin, customer service, or executive support

Enjoy organizing complex lives and making things run better

Are familiar with higher ed / academia, though not required

Location: Mostly remote. Some errands/local tasks in San Francisco if you’re nearby, but not required.
