Description We are seeking a capable Receptionist to join our client's ever-growing HVAC company. As the first point of contact for their company, it is vital that you make a great first impression and deliver excellent customer service. Your responsibilities include greeting guests, answering phone calls, scheduling appointments, and administrative tasks. An organized and detail-oriented candidate with a friendly attitude would be the perfect fit for this role.Responsibilities:

Answer phone calls professionally and courteously, direct callers to the appropriate person, or assist with general inquiries.

Greet customers and visitors to the office, make them feel welcomed and assist them as needed.

Schedule and confirm appointments, manage calendar for service technicians.

Maintain an organized and clean reception area.

Provide basic information about company products and services.

Process and distribute mail, prepare outgoing mail and shipments.

Assist with other administrative tasks as required, including filing, photocopying, data entry etc.

Develop and maintain a filing system.

Inventory and distribute office supplies when needed.

Maintain office security by following safety procedures and controlling access via the reception desk.

Requirements

High school diploma or equivalent qualification.

Minimum 1 year of experience as a receptionist or in a customer service role.

Excellent verbal and written communication skills.

Working knowledge of office equipment, like printers and fax machines.

Proficiency in Microsoft Office suite.

Strong organizational skills with the ability to multi-task and prioritize tasks.

Ability to be resourceful and proactive when issues arise.

Promptness and reliability.

Professional in appearance and manner.

Basic understanding of HVAC systems is a plus.
