Oversee front desk operations, ensuring exceptional customer service for guests, directing calls to the appropriate departments, and managing incoming and outgoing mail and parcels. Provide light clerical support to other departments.Essential Duties and ResponsibilitiesThis entry-level role reports directly to the Human Resources Manager and includes the following key responsibilities:

Deliver professional and welcoming service, representing the company positively.

Greet visitors and maintain the visitor logbook.

Answer and direct incoming phone calls promptly to the appropriate associates.

Ensure front desk coverage during business hours and escalate calls as needed.

Retrieve and distribute daily incoming mail for office personnel and external employees.

Coordinate and prepare express mail services (UPS, FedEx, etc.) and USPS envelopes.

Accept and distribute incoming packages to the correct recipients.

Manage office supply orders, receiving, and stocking.

Keep conference rooms and lunchroom organized and stocked with supplies.

Oversee periodic cleaning services for the office.

Confirm scheduled appointments and interviews.

Coordinate Aramark services and other monthly office services.

Support administrative needs for various departments, including scheduling conferences, reservations, meal orders, and mailings.

Maintain consistent and reliable attendance during business hours.

Perform other duties as assigned.

Education and/or Experience

High school diploma or GED.

2 years of related experience.

Skills

Ability to read and interpret documents, write reports, and correspondence.

Knowledge of mailing sites (FedEx, UPS, and Stamps.com) and ShoreTel.

Proficient in Microsoft Suite (Word, PowerPoint, Excel, and Outlook).

Professional customer service and presentation skills.

Physical Demands

Frequent use of hands to finger, handle, or feel, and to talk and hear.

Frequent standing, walking, and sitting.

Occasionally lift and/or move up to 30 pounds.
