Express is hiring for a Banking Documentation Specialist. The Documentation Specialist reviews and prepares legal documentation for loans/leases and servicing actions, performs administrative duties, and answers inquiries.
Job Location: Chico, CaSalary: $50,000 Work Hours: 8am - 5pm Job Duties:- Document and Information Review and Preparation
- Reviews and analyzes checklist and information provided by authorized staff to determine which documents are required
- Determines appropriate format for documentation based on credit type
- Enters information into internal credit software application
- Pre-screens, prepares and reviews documents to ensure compliance with Federal and State laws, FCA regulations, and Association procedures
- Quality checks own work to ensure compliance and accuracy, and may review other's work for accuracy and compliance
- Document Finalization
- May serve as a Notary for customers
- Reviews executed documents to ensure accuracy, appropriate signature, and supporting documentation received
- Works with title and escrow personnel to ensure escrow instructions are followed and to confirm disbursements
- Sends documentation to accounting and requests funding, as directed
- Administrative Duties
- Tracks loan and lease status and outstanding items related to the credit actions by entering information into database and spreadsheets
- Performs hazard/flood insurance monitoring, including setting up ticklers and confirming accuracy of insurance certificates
- Performs delinquent real estate tax monitoring through report review, communicating delinquencies to Credit department, and generating borrower letters per procedure
- Compiles and inputs information into the UCC database to ensure first lien position. Monitors and completes UCC filings, continuations, searches, and terminations timely
- Compiles and inputs information into the California Secretary of State database to ensure first lien position. Searches and monitors UCC filings and continuations
- Enters and verifies information into DMV forms for paid out leases
- Confirms receipt, scans and indexes relevant loan documentation into content management software and completes required filing and coordination with other staff
- Maintains current and documented procedures for specified function(s) within the department

- Appropriately protects the confidentiality, security, and integrity of the Association's systems and data and clients' data
- Commitment and Support of Association Mission
- Understands, applies, and supports the Association mission and vision statement in a positive, professional manner at work and with customers in all settings
- Responds to questions from other departments and external parties regarding loan documentation operations and procedures
- Reviews other's work for accuracy and compliance
- Works with title and escrow personnel to ensure escrow instructions are followed and to confirm disbursements
- Requests follow up actions from tracking database from other Documentation Specialists
- Updates credit and customer documents to maintain consistency with content management system
- Trains staff on workflow processes, regulations, and Association procedures
- Knowledge of documentation requirements for agricultural, and commercial loans/leases.
- Knowledge of title insurance, escrow practices and procedures.
- Knowledge of the agriculture, financial and real estate industry, and applied business mathematics and principles.
- Must be able to use computer technology and a wide variety of software applications, including Microsoft Office suite applications. Proficiency in NGS, OnBase, CS and Lien Solutions is required in this position and is a preferred qualification at the time of hire.
