Senior Site Lead

We seek an experienced Senior Facilities Manager for a large corporate headquarters campus based in Santa Clara, California. This professional will have site operations management accountability for all day-to-day activities on the campus. This role is considered essential and requires a majority of on-site presence, and on-call 24/7/365 expectations and capabilities.

This senior facilities management/operations position will oversee Workplace Services (WPS) Operations across an 8+ building campus (800,000sf) – providing leadership, management, and accountability for all workplace experience functions and operations, including mailroom, cafes, coffee/break-rooms, grounds/landscaping, parking, elevators, visitor experience, office supplies, repair technicians, transportation, move/MAC, and other related site services. This role will carry a “flexible” persona and report to the Senior Manager of Workplace Services for the Bay Area.

Responsibilities

  • In conjunction with senior WPS leadership, develop, implement, and deliver on operational objectives and processes in a critical, highly visible HQ setting; and remain adaptable to changing environments.
  • Provide direction and partnership to vendors and third-party providers and their staff to carry out operations according to standard.
  • Oversee building maintenance, repairs/alterations, janitorial services, grounds, elevators, HVAC, and fire protection services at a minimum.
  • Work with a team from the Site Services provider as well as outside engineering experts and vendors to solve issues proactively.
  • Establish relationships with other Site Leads across the global portfolio; partner together and share best practices, offer guidance and expertise as appropriate.
  • Be financially astute, develop annual OpEx/CapEx budgets, track work to the established budget, provide regular budget updates, and work within corporate financial guidelines.
  • Track on-going operational assignments given to the Operations team from management, provide insight and guidance to ensure completion of assignments.
  • Create and track purchase orders in spend management system, track spending on a vendor-by-vendor basis, manage contracts and ensure quality work.
  • Enter and monitor work orders, and review work order reporting to note and correct deficiencies as needed.
  • Be a trusted partner, build strong relationships with business leaders and WPS partners that enhance the employee experience.
  • Establish contacts with local authorities on facility related issues and maintain a respectable relationship on behalf of the company.
  • Coordination with key personnel to ensure smooth operation to include Safety & Security, IT, PMO, Planning & Design, and others.
  • Responsible for all legal & compliance matters pertaining to facility & engineering systems to include maintaining and coordinating up to date licensing, and records.
  • Conduct or participate in RFP’s (request for proposal), coordinate with procurement, legal and other groups to facilitate sourcing functions.
  • Manage operating budget and forecast and track the monthly/quarterly finances.
  • Implement and manage vendor strategy in support of organizational goals.
  • Be independent, flexible, and creative to respond to customers and projects.
  • Continuously identify areas to improve efficiency and drive business to operational excellence.

Qualifications

Requirements:

  • College degree or equivalent with experience in large, complex, and high-growth organizations
  • Strategic and extensive experience of 8-10+ years in facilities management, office/soft services, safety and security, environmental health & safety, and project management
  • Strong leadership and interpersonal skills, including ability to establish positive relationships with all levels of the organization, in the business community, and with business partners (internal and external)
  • General MEP experience and aptitude, including fire/life safety
  • Experience implementing successful standards and process improvement
  • Ability to source and manage qualified vendors
  • Excellent verbal and written communication skills
  • Lead cross-functional teams through influence and at an expert level
  • Ability to manage multiple/concurrent projects and deadlines, working effectively under pressure in a fast-paced environment
  • Adept at budgeting, planning and decision-making
  • Define and meet performance requirements
  • Demonstrate success working with service providers in a collaborative environment
  • Proficiency in spreadsheet, database, financial and CAFM/CMMS software tools and applications

Preferred Qualifications:

  • Strong financial, analytical, and problem-solving skills
  • Experience identifying and solving ambiguous problems
  • Comfortable with legal terms and structures for standard commercial contracts
  • Industry certifications including but not limited to FMP, CFM, PMP, SFP, CPM, PE
  • High emotional intelligence, experience tailoring and delivering messages to a variety of audiences
