Coordination and support for site-wide activities, including town halls and ERG events.

Key conference room management for visiting executives and Customer meetings.

Supports Project Management of site improvement projects with site facilities personnel by acting as key liaison between site leadership and site construction projects to ensure alignment.

Organized and anticipatory; planning and creating order and process. Support for Site Leadership, EH&S, Executive Assistants and Site Council, as necessary and requested.

Maintenance tracking:

Responsible for daily Facilities Maintenance logs documenting activities and working within a Work Order system.

Ensures all Facilities related preventive maintenance tasks are completed on schedule, either in-house or by a vendor.

Supplies ordering support to Facilities and EH&S, including purchasing and researching parts.

Order & maintain COVID-19 supplies and handles supply inventory lists.

Own facilities digital footprint:

Plan and maintain Site Space Planning/Seat Mapping using the applications Ioffice & Hummingbird.

Manage the SSF SharePoint site both external and internal use.

Supports site-wide communication to LSG-SSF Employees and LSG-SSF Contractors.

Create and sustain operating mechanisms and SOPs in Microsoft Office (Outlook, Excel, Teams, etc.)

Financial tracking:

Reconcile invoices from major vendors against blanket POs.

Summarize recurring costs in preparation for annual budget cycle.

Investigate any unexpected, significant charges appearing in monthly actuals.

Other miscellaneous duties as assigned:

Acts as back up for the onsite COVID-19 testing program and testing staff - understands the process and can manage the program during testing staff absences.

Additional Facilities -based activities as deemed necessary by supervisor may include filing, assisting with bulk mailings, and data sorting.

Minimum Education and Experience Requirements

High School Diploma or equivalent required

At least five years related experience required
