About Us
The Carmel Foundation is a membership organization that supports healthy aging through nutritious meals, wellness and enrichment programs, supportive services, and affordable housing, creating a community where older adults can live healthy, happy, and hopeful lives. The Carmel Foundation is opening a new Wellness Center designed to support healthy aging and community connection. The Center includes a fitness studio, stationary weight room, cardio machine room, a “Comfort Room” for small groups or individual sessions, and a welcoming café space for conversation and camaraderie. Located in Carmel-by-the-Sea, we serve older adults from across Monterey County and beyond.
Position Summary
The Wellness Center Coordinator oversees the daily operations of The Carmel Foundation’s Wellness Center, including managing the fitness areas and providing front desk member services. This full-time role ensures a welcoming, safe, and well-maintained environment for members using the fitness center, group exercise rooms, and common areas. Responsibilities include greeting and assisting members, coordinating fitness schedules, maintaining equipment and cleanliness standards, managing access and safety protocols, and providing administrative and member support. The ideal candidate is professional, friendly, organized, and motivated by helping older adults stay active and connected.
Core Responsibilities
1. Wellness Center Operations & Fitness Management
a. Oversee day-to-day operations of the Wellness Center, including fitness rooms, studios, and locker/rest areas.
b. Ensure all equipment is clean, safe, and functioning properly, coordinate repairs or maintenance with Facilities.
c. Maintain a visible, supportive presence during open hours to assist members with check-in and equipment use.
d. Post signage and schedules; coordinate with instructors and Programs staff for classes and events.
e. Monitor member participation and usage trends; provide feedback and ideas for improving member experience.
f. Ensure compliance with all safety and sanitation standards; conduct daily opening/closing checklists.
2. Member Services & Front Desk
a. Serve as a first point of contact for members and visitors—greet, assist, and provide accurate information.
b. Answer and direct calls courteously; respond to inquiries and messages promptly.
c. Verify memberships and assist with member registrations.
d. Handle payments for memberships, classes, and programs as needed, complete daily cash and reconciliation reports.
e. Maintain a tidy, welcoming front desk and lobby area with current announcements and materials.
3. Administrative & Program Support
a. Maintain attendance records, equipment logs, and simple usage reports - all on computer.
b. Update member records and input data into the membership system.
c. Create and update flyers, signage, and communications related to the Wellness Center and fitness programs.
d. Assist with coordination of instructors and volunteers supporting fitness and wellness activities.
4. Safety, Cleanliness & Member Experience
a. Conduct regular walkthroughs to ensure all areas are clean, organized, and free of hazards.
b. Support emergency or safety protocols when needed; report and document any incidents immediately.
c. Provide a positive, inclusive environment for all members; foster a culture of encouragement and respect.
5. Additional Duties as Required
a. The Carmel Foundation is a team-based organization that values flexibility and collaboration; responsibilities may shift to align with organizational needs.
b. Perform other duties as assigned to support the Wellness Center and member services operations.
Qualifications
a. Experience in fitness center, recreation, or front desk operations.
b. Friendly, professional, and patient demeanor with strong customer service skills.
c. Excellent organizational and communication abilities.
d. Basic understanding of fitness center safety and equipment use preferred (and this can be trained).
e. Proficient in Microsoft Office and comfortable using and learning about computer systems.
f. Reliable, self-motivated, and comfortable multitasking in a dynamic environment.
Education & Experience
a. Several years of experience in customer service, fitness, or recreation management, and/or equivalent education and training.
b. CPR/AED certification preferred (or willingness to obtain within 3 months of hire).

Physical Requirements
a. Ability to sit, stand, reach, twist, stoop, kneel, or crouch as needed.
b. Ability to lift and carry light to moderate-weight items (up to 50 pounds) and move fitness equipment as required.
c. Repetitive use of hands and computer keyboard.
d. Must be able to communicate effectively in person and by phone.
Additional Requirements
a. Full-time (or alternatively two Part-Time), on-site position at The Carmel Foundation’s Wellness Center in Carmel-by-the-Sea, California.
b. Occasional evening, weekend, or event coverage may be requested.
c. A background check is required prior to employment.
Wages and Benefits
a. Approximately $20 per hour.
b. Full-Time Employees: Receive an excellent benefits package, including health insurance, paid holidays, vacation, and sick leave.
c. Part-Time Employees: Eligible for paid sick leave and other benefits as required by law.
