Summary 

The ASPENX Experiences Coordinator is responsible for the general operation of the F&B delivery of ASPENX Experiences to maintain high standards, service and presentation to maximize profits. Job requires strong communication and organization skills, as well as the ability to multi-task. Responsible for planning logistics and service staffing for all venues. Interact with staff in a fast-paced environment while remaining flexible, proactive, resourceful, professional and efficient. Must be exceedingly well organized, flexible and enjoy the challenges of supporting a luxury F&B off-site operation at a five-star level. Specifically, responsible for administrative duties, i.e. scheduling, banquet check inputting and training of service staff.

 

Essential Job Functions

    Acts as liaison between ASPENX Client Services Manager, Chefs, Mtn Ops, Adventure Center and The Little Nell/Sundeck/Aspen Mountain Club, communicating regularly with Client Services Manager and Senior Client Experience Manager

    Builds an on-call team to execute ASPENX Experiences both on and off mountain

    Responsible for staffing at ASPENX Experiences including training and motivating staff

    Organize and distribute weekly working schedule overseeing all staff needs / service expectations / operational structure and execution on site day of experience

    Maintain professional appearance and conduct at all times and ensure staff appearance is impeccable and uniform/grooming standards are followed

    Attend and contribute to BEO meetings when necessary and review banquet event orders; communicate with Catering Director and Culinary team specific requests and execute according to BEO

    Responsible for administrative duties to include scheduling and reporting of hours worked per experience for use of service charge and gratuity distribution each payroll cycle in partnership with the Senior Client Experience Manager 

    Oversee set-up, prep, side duties and delivery times of equipment and venue and work with outside vendors (catering, ice sculpture delivery etc)

    Supervise the care of equipment; minimize waste, breakage and misuse

    Responsible for the safety and fire procedures, proper handling of staff and equipment including transportation to and from venue

    Responsible for keeping stock of all necessary equipment i.e., tables, chairs, linens etc.

    Review full ROS with the service team members before experience starts

    Oversee the setting up and breakdown of ASPENX specific decor and items at Buckhorn (e.g. the inside cabin decor)

    Oversee the cleanup, breakdown, and download of materials from experiences and any storage transfer needs of experience materials for both inside + outside vendors

    Ensure our sites stay well-kept before and after events, such as Buckhorn, ASPENX Beach Club and report any needs to management

    Use Delphi to create & distribute Banquet check preparation and submittal for posting and eventually banquet event orders on a timely basis

    Secure beverage inventory to maintain accuracy of banquet beverage consumption reports

    Maintain a high level of guest satisfaction; make immediate corrective action when necessary

    Deliver customer service in line with best practices and ASPENX standards
