Green Spoon Sales is looking for a positive, passionate, and seasonedExecutive Assistant to the CEO. This position will play an essential role in ensuring the CEO’s day-to-day activities are organized and executed smoothly. This position requires a high level of flexibility, adaptability, and discretion, with a focus on providing proactive support and anticipating the CEO’s needs. The ideal candidate will be resourceful, personable, and capable of navigating a constantly changing environment with grace and efficiency. Ideal Candidates must be based in the Denver/Boulder area.

Responsibilities include but are not limited to:

Executive Support:

· Provide comprehensive administrative support to the CEO, including managing schedules, meetings,

conference calls, invitations, board meetings, etc.

· Oversee and manage the CEO’s calendar, ensuring the smooth coordination of meetings, events, and

travel.

· Coordinate internal and external meetings, conferences, and events.

· Handle last-minute changes or urgent requests with flexibility and attention to detail.

· Prioritize and handle inquiries and requests, resolving issues and acting as a liaison between the CEO and

internal/external stakeholders.

· Prepare and edit correspondence, presentations, and reports for the CEO’s meetings and

communications.

· Anticipate the CEO’s needs and proactively manage time and resources to ensure maximum productivity.

Communication & Relationship Management:

· Serve as the primary point of contact for internal and external stakeholders, representing the CEO with

professionalism and positive energy

· Foster positive relationships with clients, partners, and staff by maintaining open and effective

communication.

· Assist in organizing and facilitating meetings, including preparing agendas, taking notes, and following up

on action items.

· Working closely and professionally with clients on many aspects of the business

Administrative Support:

· General administrative duties (e.g., taking detailed notes, preparing meeting materials)

· Create, process, and manage contract paperwork while exercising a high degree of discretion and

confidentiality.

· Manage CEO’s business and personal tasks as needed

· Manage and keep the company-wide database updated

· Assist with various special projects as needed, including research, documentation, and reporting.

· Help ensure important projects and deadlines are met by collaborating with other departments.

· Maintain confidentiality and manage sensitive information with discretion.

· Office (HQ) duties / support include organizing meetings, events, etc.

Requirements:

· Bachelors degree or equivalent work experience

· 3+ years of relevant experience

· Exceptional communication and interpersonal skills

· Acute attention to accuracy and detail in all aspects of responsibilities and the position

· Expert knowledge of the Microsoft suite of programs and the ability to handle detailed processes.

· Highly organized

· The ability to work in a highly dynamic environment and to adapt quickly and effectively to the changing demands of the business

· Fearless in taking on new challenges

· Demonstrated capability to take on new and unfamiliar tasks and can prioritize workload proactively and efficiently.

· Love for natural and organic food!
