As we continue to grow, we are seeking a reliable, detail-oriented, and highly organized Administrative Assistant to join our team. This role is essential to ensuring the smooth operation of our office, supporting both our staff and clients in various administrative capacities.
Position Overview:
As an Administrative Assistant at our firm, you will provide essential administrative and clerical support to ensure our office runs efficiently. You will be involved in a variety of tasks, from managing calendars and scheduling appointments to assisting with tax return preparation and handling client files. Your contributions will be vital to maintaining a positive and productive work environment.
Key Responsibilities:
Manage and maintain calendars, scheduling appointments, meetings, and conferences
Answer incoming calls and direct them appropriately
Handle email and mail correspondence
Prepare documents and files for client meetings and tax returns
Assist in tax return preparation under the direction of senior staff
Maintain and organize client files and documentation
Assist with billing, invoicing, and mailing
Provide general administrative support to the firm as needed
Job Qualifications:
Prior administrative, receptionist, or office experience in a professional environment preferred
Familiarity with office technology and software applications, including Microsoft Office 365
Experience with multi-line phone systems, copiers, fax machines, and postage meters/scale
Excellent organizational, verbal, and interpersonal skills
Ability to handle confidential information with discretion and professionalism
Ability to work effectively in a fast-paced environment, especially during peak tax season
Regular and consistent attendance is required
High energy and a positive attitude, with a strong desire to work with people
