As the newest member of our team, you will be a key player in our fast-paced company! We have a lot of moving parts and we need someone to keep our business running at full steam. You will manage the day-to-day business operations – scheduling and coordinating service calls, tracking parts, basic accounting and, delighting customers.You know the construction industry because you've worked for a trades company where you showcased all your talents.You are detail-oriented and superbly organized with the drive to get things done and deliver exceptional customer service. Spend your days:

  • Managing the business operations of our busy office, including customer service, job scheduling, AR/AP, and answering the phone
  • Scheduling and coordinating service calls and delivery routes for technicians and following up to ensure quality of service
  • Maintaining maintenance agreements - billing, scheduling and staging materials
  • Preparing estimates, quotes and service contracts for new customers
  • Recording and processing invoices ensuring accurate coding and timely reconciliation
  • Making sure the team has everything they need to get their jobs done by anticipating needs and clearing obstacles
  • Identifying opportunities for process and customer service improvement – you are our eyes and ears
  • Pitching in wherever you can to keep things moving smoothly

Qualifications

Bring with you:

  • High School diploma
  • At least 3 years of experience working for an HVAC service or design firm with administrative, customer service and basic accounting responsibilities
  • Technically savvy with strong Microsoft Office skills
  • Amazing customer service skills – empathic, active listener with a genuine desire to find the right product and solution
  • Ability to manage time, activities and priorities skillfully and without direct supervision – and juggle a bunch of balls without missing a beat!
  • Process minded problem solver with an eye for efficiencies and continuous improvement
  • Friendly, outgoing, positive energy and able to communicate in a professional manner – you're representing Air Force Filter!
