PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.

EXAMPLES OF DUTIES

Provide administrative support to Director/Physicians/ACT Team staff.

Responsible for organizing, coordinating, prioritizing and monitoring all non-clinical operations of the ACT Team.

Greet, direct and assist clients and visitors to CMHC regarding policies and procedures.

Manage triage phone/switchboard, organize unit mail, faxes and scans.

Schedule meetings/ arrange for meeting rooms.

Prepare appropriate agendas for meetings and conferences.

Manage all aspects of medical records for ACT clients, maintain current client information in WITS, audit active client charts and unit referrals, track releases of information, update and organize unit and client information stored in the units computer T-Drive folder.

Update weekly rounds sheet.

Prepare, proo and modify documents as well as time sensitive documents including correspondence, reports, drafts, memos and emails.

Maintain office/medical/client supplies for department and purchasing supplies as needed in CORE System.

Verify medical benefits in CT DSS system as well as work with on-site DSS worker.

Distribute, track and replenish bus passes and meal tickets with CMHC Business Office.

Manage petty cash accounts including budgeting, disbursing money to clinicians, tracking receipts, submitting check requests and cashing checks. Shop for/ replenish supplies given to our clients.

Process nursing orders.

Book monthly client non-emergent medical trips with MTM/public transportation.

Handle confidential information.

Coordinate calendars.

Schedule appointments.

Generate reports.

Develop and implement new forms and office procedures.

Maintain state vehicles, maintain travel logs.

Coordinate special events.

Special projects as assigned as well as all other duties as they arise on a daily basis.

Proficient in Microsoft Office.

One (1) year of the General Experience must have been as a Secretary 1 or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

Experience with working with client with severe and persistent mental health and substance use disorders

Experience with collaborating with outside agencies

Experience with excel spreadsheets, including using formulas, pivot tables, and creating charts and graphs

Experience in developing file systems to support a team

Oral and written communication skills
