Service Management Specialist Software Asset Management/Procurement and Maintenance Specialist Job Description: The Software Asset Management (SAM) Maintenance Specialist is a member of the Software Asset Management team and is responsible for facilitating software procurement requests, coordinating the execution of the software asset maintenance renewal and reporting processes and overseeing the software retirement verification process. The individual maintains records and databases containing information regarding licenses, maintenance renewal and service agreements for the Voya's licensed software. They minimize organizational cost through partnering with Technology Owners and Enterprise Architecture to perform product standardization and tracking. The SAM Maintenance Specialist oversees and participates in the execution of related procedures and periodically reviews maintenance renewal processes and procedures to mature and keep in line with industry trends and best practices. This resource also coordinates and executes various maintenance and license reporting needs including the execution and filing of reporting scripts, tools and processes as per contractual terms and frequency. This resource will work with the Technology Product Owner, IT Contracting and Compliance to create a formal response of these results. Finally, this resource is the primary contact to verify the retirement of tools and the ongoing reporting necessary to determine if that tool has been removed and not re-introduced into the environment. The Software Asset Management (SAM) Maintenance Specialist role is imperative to the organization in performing the maintenance renewal review and cost reduction/avoidance, tool rationalization and the reduction of overlapping costs, the contractual asset tracking and reporting requirements to avoid corporate risk and avoid compliance issues and any associated penalties. RESPONSIBILITIES Coordinates the execution of ITAM Maintenance & Reporting business processes and communicates results to appropriate parties. Utilize customer service and technology skills to monitor, facilitate and troubleshoot software support for all corporate employees. Responsible for identifying, researching, and resolving software issues, and escalating any issues to other Voya internal partners (internal engineers, application support personnel). Monitors tasks and assists with the tracking of controls during planning and execution of the activities. Works with minimal supervision and guidance and is responsible for applying basic ITAM skills, tools and techniques to assigned deliverables, processes and systems in order to meet compliance, savings and risk reduction objectives. Ensures governance is in place for said processes. Holds technology owners, architects and developers accountable to same objectives (technology reduction, contractual asset tracking and reporting, cost saving and risk reduction). Suggest ways to improve team KPIs. Provides input during yearly budgeting process. Drives escalations per defined best practices, holds areas accountable for timely response to Software Asset/Maintenance Reporting related activities, monitors assets through lifecycle from acquisition to disposal. Other duties and projects as assigned and required. KNOWLEDGE, SKILLS AND ABILITIES- Generally, 1-3 years' experience in an IT Asset Management practitioner, Technology Owner, Desktop Support Specialist, Application Engineer or IT Contracts Analyst role.
- Experience with Customer Support/Deskside Support
- Experience with Software Procurement Installation, Removal and Licensing processes; including such technologies as SCCM, Active Directory, Adobe & Microsoft Portals, Oracle Procurement.
- Specific knowledge as to purpose and benefits associated with ITAM processes, Maintenance Contract Requirements, Tool/Script Execution and their interaction with other processes in the organization.
- Solid understanding of the use of ServiceNow and SAM Professional functionality to perform asset and compliance management.
- Good leadership abilities and organizational knowledge.
- Familiarity with process improvement methodologies and problem solving.
- Knowledge of Information Technology, Application Development, IT Contracts or Vendor Management
- Strong written and verbal communication skills

- Bachelor's degree in business, IT or Finance
- Experience interpreting licensing terms and conditions
- Experience with ServiceNow/SAM Pro tool use within the ITAM function
- Experience with Active Directory
- ITIL and ITAM/IAITAM certifications a plus
