What we’re looking for: We are currently seeking an exceptional Executive Assistant based in the DC Metro Area, with accessibility to the Foxhall/Georgetown neighborhoods. The executive assistant plays a crucial role in support of the CEO through part-time, hourly assistance. CEO is a solo founder who needs assistance optimizing business and personal processes to reach operational excellence. Primary responsibilities include management of the CEO’s activities, calendar, meetings, and follow-ups. Personal Assistant tasks include running light errands and assisting with the CEO’s personal household supply chain. This position requires the ability to handle confidential and time sensitive information with the highest level of professionalism and integrity. The top candidate will be personable, exceedingly well-organized, and successful at building and maintaining trust with the CEO and other members of the team.
Responsibilities include:
- Proactively manage CEO’s daily tasks and schedule, including meeting scheduling and preparation
- Manage follow up to certain meetings, assisting with the preparation of applicable agendas, notes, and materials
- Manage and coordinate various travel arrangements and meetings for the CEO, ensuring accuracy, efficiency, and impeccable attention to detail
- Run occasional household errands, including: drop off/pick up of dry-cleaning, mailing packages, gifting (physical errands are infrequent and within the District of Columbia)
- Take inventory of and manage online orders of groceries and household supplies, such as pet food, paper goods, etc.
- Schedule (recurring) personal appointments for the CEO, such as doctors appointments, etc.
- Work on special projects and other duties as needed
- Implement structure to team operating cadence
Qualifications and traits
- Organized, agile, detail-oriented
- Strong time-management skills
- Extremely proactive and able to make quick, smart decisions on your own
- Ability to manage to a deadline
- Ability to manage the CEO to a deadline
- Ability to utilize tact, diplomacy, discretion and good judgement at all times
- Basic skills across the following programs are a plus, but not required: Slack, Notion, Google Suite (Docs, Mail, Sheets, Meet), Microsoft Office (Word, Excel, PowerPoint), Zoom
