Job Description / Role: Project Installation Assistants are the operational backbone of each project, ensuring smooth progress from procurement through final installation by managing timelines, tracking lead times, coordinating contractors and vendors, scheduling deliveries, and organizing all installation logistics. They maintain accurate records, monitor inventory, handle time-sensitive information, and keep all project details up to date and accessible. PCs communicate clear updates to internal team members and external partners, ensuring alignment at every stage. Their overarching goal is to support efficient project execution and contribute to a polished, high-quality overall experience.
Responsibilities:
- Collaborate with the Design Team and CAD Specialist to understand project scope, installation plans, and technical requirements.
- Act as the on-site liaison between the design team, construction teams, trades, and the client during installation phases.
- Conduct site visits to observe progress, take photos, and provide clear weekly updates to the teams.
- Ensure yard signage is properly installed, visible, and maintained at active project sites.
- Support a positive client experience by being present on-site, answering basic questions, and relaying updates promptly.
- Coordinate and oversee on-site deliveries, ensuring items are received, documented, and placed correctly according to project plans.
- Identify and report on-site issues, delays, or discrepancies to the design team for timely resolution.
- Manage the return of unused products or materials to vendors, maintaining accurate documentation for credits.
- Assist with installation-week tasks such as staging, setup, and ensuring trades follow the correct sequencing.
- Maintain organized records of site photos, progress notes, and installation updates for tracking.
- Document and communicate punch-list items to the appropriate team members for follow-up.
- Perform other installation-related support duties as directed by the Design Team or Project Lead.
Qualifications:
- Hands on experience with managing clients, construction teams, and architectural plans
- Self-motivated and takes initiative in finding and accomplishing work
- Excellent time management skills with the ability to multitask and prioritize work
- Task and detail-oriented with strong organizational and problem-solving skills
- Excellent written, verbal, and presentation skills with proficiency in MS Office
- Must be physically able to lift and occasionally carry heavy objects (up to 50lbs), open boxes, stand, and sit, for prolonged periods of time
- Must have reliable transportation and a valid US driver’s license
- Must speak fluent English
