Coke Florida is looking for an Administrative Assistant based out of our Jacksonville location. We’re currently looking for first shift, working Monday-Friday 7am-4pm.What You Will Do:As a Coke Florida Administrative Assistant, you will be responsible for a variety of administrative and clerical tasks and activities to support a leader, team, or site location.Roles and Responsibilities:
Interface with various stakeholders including senior to mid-level executives, associates, vendors, and customers with a high level of professionalism
Coordinate meetings, travel arrangements and maintain multiple executive calendars
Record meeting notes and action items, provide summary of meeting(s) to executive leaders
Managing vendor invoicing and purchase order processes
Serve as backup to Associate Services Administrator with duties such as but not limited to associate onboarding, training
Create presentations, ad hoc reporting and confidential correspondence
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
Manage company data and record retentions process
Manage incoming and outgoing phone and email communications
Maintain various databases and contact lists
Prepare and submit expense reports including collection of receipts
Foster and maintain strong internal and external professional relationships
Partner with relevant departments and external partners to coordinate company sponsored events and/or projects
Professional demeanor coupled with a “can do” positive attitude
Proactive and resourceful with the ability to work independently
Exceedingly well organized with the ability to prioritize conflicting demands
Ability to interact with all levels of staff in a fast-paced, multi-site business
Ability to solve complex problems
Must be able to maintain strict confidentiality at all times
For this role, you will need:
Minimum 5 years of experience as an Administrative or Executive Assistant
Strong written and verbal communication skills required
5 + years of experience with calendar management, meeting coordination and making travel arrangements
Must be technology savvy and highly proficient with Microsoft Outlook, Word, Excel and PowerPoint
Solid business acumen and informed on current events in the business world
Strong project management, process improvement and event planning skills
Must be available to travel as needed
