This is an Administrative Assistant II position working within the Division of Water Resource Management (DWRM)
This position is necessary to provide customer service to the State of Florida as well as the employees within the Division of Water Resource Management.
This position will work within DWRM, providing assistance to Onsite Sewage Program.
The primary responsibilities of this position will be, completing travel documentation, purchasing, meeting coordination, reviewing documentation, clerking, answering phones, performing other administrative duties as required

Your Specific Responsibilities:
Represents & Assists the Program Management Director and other section staff. The duties of this position include handling the Onsite Sewage Programs, , communications, travel, purchasing request, approval of routing protocols and customary business equipment, proos, correcting grammar, spelling and punctuation as necessary. These duties also require a strong work ethic, dependability, the capacity to handle multiple assignments simultaneously, strong verbal & written communication skills, and the ability to respond quickly to short notice assignments.
Reviews and streamlines program policies and procedures.
Serve as the first point of contact for customers consulting the Onsite Sewage Program.
Assists Onsite Program Managers with task management and launching of new procedures and systems. Ensuring that required documents are properly completed and submitted to Finance and Accounting in a timely manner. Keeping up to date on the newest policies and procedures and meeting all necessary fiscal deadlines.
Handles the receipt of all incoming mail and packages, opens all correspondence, and date stamps upon receipt. Participates in file scanning projects, preparation and editing of various correspondence, reports, statistical data studies, reviews, outgoing mail, etc. Inserts documents into Oculus. Serves as a department clerk for Final Agency Actions when needed.
Send the final orders and variance result letters via email using the program's shared mailbox. Assists Program staff with screening and responding to emails from other programs in the Divisions’ shared mailbox.
Assists with scanning and inserting incoming/outgoing documents into the Program appropriate Oculus index. Assist with monitoring and managing Onsite shared mailboxes.
Received and submit monies into the Cash Received Application (CRA).
Assist with regular updates for the program's website, document transfers, SharePoint, and 508 Compliance
Assist the DEP Welcome Desk with coverage as needed.
Performs other duties as required.
Required Knowledge, Skills, and Abilities:
Knowledge of administrative and clerical procedures and systems.
Knowledge of principles and processes for providing customer and personal services including needs assessment techniques, quality service standards, alternative delivery systems, and customer satisfaction evaluation techniques.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; Ability to maintain a valid driver's license.
Minimum Qualifications:
Valid Driver License
An associate degree from an accredited college or university and one-year of verifiable related experience; or Any combination of post-secondary education or verifiable related experience, as described above, for a total of three years.
Pursuant to sections 110.1127 and 435.04, Florida Statutes, and DEP Directive 422, Background Investigation, is required to successfully complete a background and fingerprint check.Preferred Qualifications:
Being able to take direction from more than one supervisor.
Knowledge of combining documents into a PDF.
Knowledge of working in excel documents.
