The Building Facility Coordinator is responsible for coordinating the physical, environmental, and security conditions, including ongoing facilities maintenance, of all School of Communication facilities to ensure that School operations continue efficiently and effectively without interruption. Position reports to the Manager, Building Facilities.Duties and Responsibilities:
Serves as the liaison between the School and University departments — Facilities Administration, Physical Plant, housekeeping contractor, Public Safety, etc. — and with outside vendors to evaluate facilities maintenance requirements, communicate and consult on potential resolutions, initiate and arrange for service and repairs, and ensure that work is performed to specification and completed within agreed upon times.
Communicates with all levels in the School of Communication regarding facilities issues, activities, projects, policies, and procedures.
Works with Manager, Building Facilities to develop and maintain facilities-related policies and procedures.
Coordinates routine inspections in order to monitor the physical, environmental, and security conditions and general maintenance and makes recommendations to School Administration.
In coordination with Manager, Building Facilities and the SoC Business Office, allocates workspace among various faculty and staff; ensures effective utilization of furniture and equipment in all School facilities.
Oversees the repair and replacement of office/classroom furniture and equipment.
Works with Manager, Building Facilities to coordinate office setups for newly hired faculty and staff and departmental moves including furniture, phone lines, and cleanup of vacated spaces.
Coordinates with University and outside officials the evacuation of the School due to fire alarms or other emergencies and is responsible for obtaining clearance to re-occupy the facilities prior to allowing re-entry by faculty, staff, and students.
Monitor, maintain and update alarm security systems.
Assists with the implementation of the School’s disaster preparedness and recovery efforts including:
Serving as a member of the Emergency Response Team.
Assisting School Administration in coordinating preparation for hurricanes and other emergencies as needed.
Assisting School Administration in supervising clean-up after emergencies and providing timely maintenance support to units immediately following disasters or emergencies such as hurricanes, fire, floods, burst pipes, etc.
Coordinating maintenance support with University units and outside contractors as appropriate following emergencies and disasters.
Monitors performance and ensures that maintenance and services are in accordance with maintenance agreements. For example, landscaping and cleaning services.
Manages and controls access to School facilities by maintaining a building keying system and master keying record of all keys issued and retrieved; monitoring and processing Cane Card access; scheduling automated door access based on scheduled room usage; and, monitoring and processing security alarm code requests.
Ensures that School administration is kept abreast of all issues related to facilities maintenance and repairs; space allocation for faculty, staff, and classes; and, facilities security and access.
Provides assistance in preparation of the facilities management budget and makes recommendations including input for capital proposals.
Works with Manager, Building Facilities and the SoC Business Office to monitor expenditures related to facilities.
Manages the non-academic scheduling in 25Live for the internal and external community. Coordinates contracts, risk management, programming doors and all other logistics.
Maintain and update furnished space reports to provide information/recommendations on current or future projects of improvements and renovations needed.
Maintain detailed space inventory and utilization data. Assign or classify spaces according to UM’s procedures.
Coordinates administrative duties in the Facilities Department. For example, submitting monitoring and closing work orders, ordering office supplies, processing and paying purchase orders, and other administrative duties.
Other duties as assigned.
Minimum Qualifications
Two years of related experience.
Bachelor's degree preferred
Superior customer service skills and orientation.
Strong organizational skills.
Communication skills, both oral and written.
Attention to detail.
Ability to prioritize tasks, multitask, and set/meet deadlines.
Ability to work both independently and collaboratively.
Ability to maintain professionalism at all times, even under stressful situations.
