Position Overview

Peters Plumbing is seeking a dedicated and organized Dispatcher / Executive Office Administrator to join our team. This multi-faceted role will be responsible for managing service calls, handling administrative tasks, coordinating permits, and supporting the daily operations of our plumbing business. The ideal candidate will have excellent communication skills, the ability to juggle multiple tasks, and a passion for providing excellent customer service. Key Responsibilities

Dispatching & Customer Service

Answer incoming calls from customers and schedule plumbing service calls based on urgency, location, and technician availability.

Dispatch technicians efficiently, ensuring all jobs are completed within the designated time frames.

Maintain a real-time dispatch system, tracking jobs and adjusting schedules as needed.

Provide exceptional customer service by addressing customer inquiries, concerns, and service updates.

Administrative Support

Perform general office administrative duties, including data entry, filing, and maintaining records.

Process billing and invoicing for completed service calls and follow up on any outstanding payments.

Assist in managing office supplies, inventory, and equipment orders as needed.

Handle scheduling and coordination of appointments for routine plumbing maintenance or consultations.

Permit and Compliance Management

Coordinate and submit necessary permits for plumbing projects and ensure compliance with local regulations.

Maintain and organize permit records, ensuring all required documentation is up to date.

Work with local municipalities to ensure timely approvals and inspections for plumbing jobs.

Other Duties as Assigned

Assist with scheduling and coordinating staff training, meetings, or events.

Provide backup support for other office functions as needed.

Qualifications:

Previous experience in dispatching, customer service, or office administration preferred.

Knowledge of plumbing terminology or the plumbing industry is a plus but not required.

Excellent organizational and multitasking skills.

Strong communication skills, both written and verbal.

Proficient with Microsoft Office Suite and other office software; familiarity with dispatch software or scheduling tools is a plus.

Ability to work independently and as part of a team in a fast-paced environment.

Strong attention to detail and problem-solving abilities.

Compensation

Pay range: $13 to $20 per hour, based on experience.
