Real Estate Investment Company seeking an Executive Assistant

The company is a Real Estate Investment and consulting business specializing in land acquisition, entitlement, and development of residential, multifamily, and mixed-use projects. The successful candidate will work directly with the President and provide both personal and executive assistance as well as land acquisition coordination. The position is expected to be primarily in-person with some remote work possible.

Successful candidates would have experience as an assistant to a senior leader of a company. You have excellent written and verbal communication skills. You have a high attention to detail and accuracy and are exceptionally organized. In addition to administrative functions, you will also support the land acquisition function in a coordinator capacity, assisting in due diligence, market research, financial analysis, and project coordination.

You possess a hard-working can-do attitude, the ability to work in a fast-paced environment, take initiative and consistently meet deadlines. You are a problem solver who proactively proposes solutions and can work independently as well as part of a team.

Excellent computer skills are required.

Responsibilities:

Executive Administrative support including:

Manage calendars, coordinate meetings and provide real time updates on upcoming meetings, events or changes to his schedule.

Compose letters, emails and other correspondence.

Research, prioritize, and follow up on correspondence and concerns addressed to the President.

Process incoming mail including invoices.

Prepare and distribute meeting agendas, take minutes, and follow up on action items

maintain accurate records.

Serve as the administrative liaison to others in the Company and with clients.

Personal efficiency tasks may include, but are not limited to setting up doctor appointments, coordinating family activities, gift coordination, and flight check-ins.

Land Acquisition Coordinator support including:

Prepare and proofread documents, reports, and presentations. Information is often confidential, which requires a sense of discretion and protection to the organization.

Conduct research and compile information for various projects.

Maintain an excel list of projects and corresponding project files.

Make updates to a web-based mapping program with various project information.

Maintain excel budgets with monthly reports from accounting.

Compare invoices to proposals, process invoices for payment.

Assist with other tasks as assigned.

Requirements:

Proven experience as a personal or executive assistant or in a similar role.

Excellent written and oral communications skills with a keen eye for detail.

Outstanding proofreading and editing skills.

Ability to transcribe accurately and efficiently.

Tech savvy with the ability to learn and adapt to new software and technology to create efficiency and transparency.

Highly skilled in Microsoft Office 365 and Adobe Acrobat.

Google Earth, or other Real Estate mapping experience highly preferred.

Ability to work independently and prioritize accordingly to effectively manage multiple projects and deadlines.

Strong organizational and time management abilities.

Expected hours: 25-30 per week

Schedule:

Primarily in person with some remote work possible.

Monday-Friday 9:00-5:00
