Job Description
We are seeking a highly organized and customer-focused HVAC Dispatcher to join our team. In this critical role, you will be responsible for scheduling and dispatching HVAC technicians to service, maintenance, and installation calls. You will act as a central point of contact between customers, field staff, and internal departments—ensuring timely, efficient, and high-quality service delivery.
The ideal candidate is a strong communicator with excellent multitasking skills, thrives in fast-paced environments, and takes pride in providing top-tier customer support.
Key Responsibilities
Coordinate and dispatch HVAC technicians to job sites based on location, skill set, and job priority
Monitor technician schedules throughout the day, adjusting as needed to accommodate emergencies or changes
Serve as the primary contact for customers, providing updates, answering inquiries, and resolving service-related concerns
Support field technicians with logistical or informational needs to ensure job completion
Maintain accurate records of service calls, work orders, technician hours, and job progress in the dispatch system
Prioritize service calls based on urgency, customer needs, and technician availability
Communicate effectively with the service team and other departments to ensure smooth operations
Assist with administrative tasks such as billing support, report generation, and data entry
Qualifications
High school diploma or equivalent (Associate’s degree or vocational training preferred)
2+ years of experience in dispatching, scheduling, or a customer service role—HVAC or trades industry experience
Strong organizational and time-management skills
Excellent verbal and written communication abilities
Ability to remain calm under pressure and manage multiple priorities
Proficiency with dispatching software, CRM systems, and Microsoft Office Suite
Familiarity with HVAC terminology and services
